IT Operations Coordinator

Remote with 1 day onsite

TECHEAD is currently hiring an Operations Coordinator for one of our clients in the VA Beach area. The Operations Coordinator serves as a key operational and administrative resource for the Information Technology department, ensuring the efficient coordination of financial, organizational, and operational activities. This position is responsible for managing technology-related invoices, vendor payments, purchasing documentation, budget tracking support, scheduling, meeting coordination, and operational recordkeeping.

The Technology Operations Coordinator helps maintain the day-to-day business functions of the department while supporting technology leaders, engineers, analysts, and project teams. In addition to administrative and financial responsibilities, this role assists with technology operations processes including ticket queue coordination, asset and inventory management, vendor communication, reporting, documentation maintenance, and departmental workflow administration. The successful candidate combines strong organizational skills, attention to detail, and business acumen with a working knowledge of technology operations and service management practices.

Job Responsibilities
  • Process, track, reconcile, and coordinate payment of technology-related invoices, contracts, subscriptions, maintenance agreements, and recurring vendor expenses.
  • Serve as the primary liaison between Information Technology, Finance, Purchasing, and vendors regarding billing, procurement, and payment activities.
  • Maintain records of software licensing, support agreements, warranties, renewals, and technology expenditures.
  • Assist departmental leadership with budget tracking, purchase requests, quote collection, expense reporting, and vendor management activities.
  • Coordinate departmental schedules, meetings, project reviews, and vendor engagements; prepare agendas, document meeting notes, and track action items.
  • Maintain departmental documentation, operational records, policies, procedures, contact lists, and distribution groups.
  • Monitor and coordinate ticket queues to ensure requests are properly assigned, tracked, and followed through to completion.
  • Maintain technology asset inventories, equipment assignments, software records, and lifecycle documentation.
  • Coordinate equipment procurement, deployment, transfers, returns, and inventory audits.
  • Generate and distribute operational, financial, and asset management reports for leadership review.
  • Support onboarding and off boarding activities for employees, contractors, and vendors in coordination with technology and business stakeholders.
  • Assist with operational communications, maintenance scheduling, audit preparation, compliance activities, and special projects as assigned.
  • Perform general administrative and operational support functions for the Information Security and Technology Operations department.
  • Interact professionally and effectively with internal partners, customers, and stakeholders, encouraging strong operational relationships.
Qualifications and Requirements
  • Strong organizational, planning, and time-management skills with exceptional attention to detail.
  • Proficiency with Microsoft 365 applications, including Outlook, Excel, Word, Teams, and SharePoint.
  • Experience with invoice processing, purchasing workflows, budget tracking, and vendor management.
  • Ability to create, maintain, and organize accurate records, reports, and operational documentation.
  • Understanding of technology asset management, inventory control, and administrative support practices.
  • Familiarity with IT service management concepts and ticketing systems.
  • Strong written and verbal communication skills, including meeting coordination and note-taking.
  • Ability to manage multiple priorities, deadlines, and competing requests in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive financial, operational, and personnel information with discretion.
  • Strong customer service and interpersonal skills with the ability to work effectively with technical staff, leadership, vendors, and business stakeholders.
  • Ability to identify process improvement opportunities and support operational efficiency initiatives.
  • Ability to work independently with minimal supervision while contributing effectively as part of a team.
