Role Description The Assistant Manager is a full-time, on-site role based in Virginia Beach, VA. This position supports the Community Association Manager with day-to-day administration, including preparing correspondence, organizing documents, and maintaining association records. The role involves assisting with board meeting preparation, attending meetings as needed, taking minutes, and following up on action items. The assistant helps coordinate vendor services, responds to homeowner inquiries, and tracks work orders to ensure timely resolution of community issues.
Portfollio Community Association Manager is responsible for the day-to-day operations of numerous communities throughout the Hampton Rhodes area. The manager works directly with the border directors, attorneys, insurance agents, and overseas the day-to-day operations with their assistant. The manager is also responsible for compiling a proposed budget to be presented to the board, reviewing the monthly financials prior to distribution, meeting with contractors on site, ensuring compliance with the association, governing documents and working hand-in-hand with their assistant assigned to that community.
Qualifications
- Strong administrative and organizational skills, including document management, scheduling, and record-keeping.
- Effective communication abilities, with clear written and verbal skills for interacting with board members, residents, and vendors.
- Customer service mindset, with experience handling inquiries, resolving issues, and maintaining professional relationships.
- Basic financial literacy, such as familiarity with budgets, invoices, and assessment processing.
- Proficiency with office and management software (e.g., word processing, spreadsheets, email, and community management platforms).
- Ability to work on-site in Virginia Beach, VA, manage multiple tasks, and meet deadlines with attention to detail.
- Previous experience in property management, community association management, or related fields is preferred but not required.
- High school diploma or equivalent required; additional education or relevant certifications (e.g., CAM or similar) are a plus.
