At Serco, our Project Administrators play a critical role in helping program managers, technical experts, and government stakeholders successfully execute complex contracts supporting military organizations around the world. In this role, you will be part of a diverse team supporting project execution, customer engagement, staffing activities, financial tracking, travel coordination, reporting, and operational planning efforts across multiple programs. - Support Program Managers and project teams in the day-to-day execution of multiple government contracts.
- Coordinate project schedules, meetings, action items, deliverables, and customer engagements.
- Maintain project records, contract documentation, staffing trackers, organizational charts, and reporting databases.
- Assist with development of presentations, reports, briefings, spreadsheets, standard operating procedures, and other project documentation.
- Track contract deliverables and ensure timely submission of reports, invoices, travel documentation, and customer-required products.
- Support personnel actions including onboarding, staffing coordination, personnel tracking, recruiting coordination, vacancy reporting, and employee communications.
- Coordinate domestic and international travel requirements, travel forecasts, expense reporting, and travel reconciliation activities.
- Assist with preparation and tracking of funding actions, contract modifications, travel budgets, reimbursable expenses, and other program financial activities.
- Maintain project information utilizing SharePoint, Microsoft Teams, Excel, Power BI, and other government or corporate information systems.
- Serve as a liaison between program leadership, subcontractors, corporate functional departments, and government customers.
- Support customer meetings by preparing agendas, capturing meeting minutes, tracking action items, and monitoring completion status.
- Assist in developing project metrics, dashboards, status reports, and executive-level briefings.
- Coordinate data calls, staffing updates, budget inputs, facility requirements, equipment requirements, and other operational information requests.
- Support quality assurance, compliance, records management, and process improvement initiatives.
- Assist with proposal development, market research, staffing plans, recruiting coordination, and transition activities for new business opportunities.
- Monitor project risks, identify issues requiring leadership attention, and support resolution tracking.
- Help maintain a high level of customer satisfaction through responsive communication and exceptional administrative support.
These responsibilities align with program activities involving contract execution support, reporting, customer coordination, travel management, staffing oversight, requirements development, facilities and infrastructure support, and operational program administration. To be successful in this role, you will have:
- A Bachelor's degree in Business Administration, Management, Project Management, Communications, Public Administration, or a related field.
- 4 years or more years of experience supporting projects, programs, operations, contracts, or business functions.
- The ability to obtain and maintain a DoD Secret Security clearance. US Citizenship required.
- Experience supporting government, defense, military, engineering, facilities, logistics, or professional services programs.
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Experience preparing reports, presentations, meeting minutes, and executive correspondence.
- Demonstrated proficiency with Microsoft Office Suite including Excel, Word, Outlook, PowerPoint, and Teams.
- Ability to manage multiple priorities in a dynamic environment.
- Ability to work independently while supporting geographically dispersed teams.
- The ability to travel up to 10%.
Additional desired experience and skills:
- Previous experience supporting Department of Defense (DoD) contracts.
- Experience with SharePoint, Power BI, or project tracking tools.
- Familiarity with government contracting processes and contract documentation.
- Experience supporting staffing, recruiting, onboarding, or personnel administration activities.
- PMP, CAPM, or other project management certification.
- Experience supporting engineering, facilities, infrastructure, military operations, or headquarters staff environments.
