Position Overview
The Client Acquisition Specialist is responsible for the smooth transfer of new matters from our CRM into Clio, our client management software. The ideal candidate should value accuracy, thoroughness, focus, attention to detail and commitment to quality. Job location and duties are subject to change based on operational needs and may be modified from time to time.
Key Responsibilities:
- Serve as the primary point of intake for new clients, ensuring a seamless transition from lead to active matter.
- Open and manage new matters in Clio, ensuring all required information is accurate, complete, and entered in a timely manner.
- Collect, review, and verify all required documentation prior to matter creation to support efficient case onboarding.
- Maintain strict data accuracy by ensuring Hub Spot deals are properly updated, staged, and marked to reflect correct client status and acquisition outcomes.
- Coordinate with attorneys and internal teams to assign cases promptly, ensuring no delays in client service or case progression.
- Monitor transition workflows to identify gaps, bottlenecks, or documentation issues and proactively resolve them.
- Ensure compliance with firm intake procedures, documentation standards, and data governance best practices.
- Support reporting and analytics by maintaining clean, consistent intake and deal data across systems.
Qualifications and Skills:
- Previous experience in intake, customer service, or client coordination within the legal industry, preferred.
- Excellent verbal and written communication skills with ability to communicate between departments with respect and professionalism.
- Proficiency with CRM systems, Microsoft 365, and digital communication tools
- Attention to detail with a strong commitment to accuracy and time management is essential.
- Education:
