Position Summary

The Operations Manager is responsible for managing the company’s bid department, to include its workflows, performance, quality, and client inventory reviews. This includes directing all file-level associates related to training, performance, measurement, and coaching, to meet and exceed client goals, company objectives, and to remain in compliance with industry and investor servicing guidelines. This role responsible for overseeing the coordination of repairs and maintenance of vacant, foreclosed, and REO properties through to liquidation in accordance with regulatory and client requirements.

Key Responsibilities Operations Management
  • Oversee daily property preservation operations across assigned territories.
  • Manage work order intake, scheduling, dispatching, and completion.
  • Ensure all services are completed within client-required timelines.
  • Monitor workflow efficiency and implement process improvements.
  • Maintain compliance with investors, lenders, and government regulations.
Quality Assurance & Compliance
  • Conduct audits and inspections to ensure work meets client specifications.
  • Review before-and-after photos, inspection reports, and documentation.
  • Address quality issues and implement corrective action plans.
  • Ensure adherence to HUD, FHA, VA, Fannie Mae, Freddie Mac, and client guidelines.
Client Relations
  • Serve as primary contact for clients regarding operational performance.
  • Provide status updates, reporting, and issue resolution.
  • Maintain strong relationships with asset managers and servicing companies.
  • Respond promptly to escalations and service concerns.
Team Leadership
  • Supervise office staff, coordinators, inspectors, and field personnel.
  • Establish performance goals and conduct employee evaluations.
  • Provide coaching, training, and professional development.
  • Foster a culture of accountability, safety, and continuous improvement.
Reporting & Analytics
  • Track key performance indicators (KPIs) such as:
    • On-time completion rates
    • Quality scores
    • Vendor performance metrics
    • Client satisfaction
    • Cost per work order
  • Prepare operational reports for senior management.
Required Qualifications
  • 5+ years of experience in property preservation, field services, REO management, or related operations leadership.
  • Strong knowledge of mortgage field services and property preservation standards.
  • Experience managing vendors, subcontractors, and multi-site operations.
  • Proficiency in property preservation platforms and Microsoft Office Suite.
  • Excellent leadership, communication, and critical thinking skills.
Preferred Qualifications
  • Bachelor's degree in Business Administration, Construction Management, Real Estate, or related field preferred.
  • Experience with HUD, FHA, VA, Fannie Mae, Freddie Mac, and mortgage servicing guidelines.
  • Knowledge of mortgage servicing systems, such as MSP, Loan Serv, and similar systems
  • Project management certification or operational leadership training.
