The Grant Accountant is responsible for managing the financial administration, compliance, and reporting activities associated with federal, state, local, and privately funded grants. This position ensures grant funds are accurately tracked, reconciled, and reported in accordance with funding requirements, applicable regulations, and organizational policies. The role supports grant budgeting, financial reporting, audit preparation, and collaboration with internal stakeholders to promote effective stewardship of grant resources.
Key Responsibilities:- Manage the financial administration of multiple grant-funded programs and projects.
- Monitor grant expenditures to ensure compliance with grant agreements, funding restrictions, and organizational policies.
- Prepare and process grant reimbursement requests, fund drawdowns, and payment requests.
- Track grant funding availability, expenditures, cash receipts, and remaining balances.
- Prepare accurate grant financial reports, expenditure reports, and supporting documentation.
- Maintain grant schedules, including funding details, reporting deadlines, compliance requirements, and closeout activities.
- Assist with grant budget preparation, budget modifications, and ongoing budget monitoring.
- Reconcile grant activity to the general ledger and investigate discrepancies.
- Prepare monthly, quarterly, and annual grant reconciliations.
- Record journal entries related to grant activity and financial transactions.
- Partner with program managers and finance leadership to support grant reporting requirements.
- Assist with financial statement audits, grant compliance reviews, and Single Audit preparation.
- Prepare audit schedules and maintain documentation to support audit requirements.
- Support preparation of IRS Form 990 and related schedules, as applicable.
- Maintain organized grant records and documentation to ensure audit readiness.
- Ensure compliance with Uniform Guidance (2 CFR Part 200), Generally Accepted Accounting Principles (GAAP), and internal procedures.
- Participate in month-end and year-end financial close activities.
- Identify opportunities to improve grant accounting processes and strengthen internal controls.
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field required.
- Minimum of three years of accounting experience required.
- Experience with grant accounting, grant administration, or nonprofit/government-funded financial management required.
- Experience preparing grant reports, managing budgets, and supporting compliance activities.
- Experience with grant reimbursement requests, fund drawdowns, and financial reconciliations.
- Experience with general ledger accounting, account reconciliations, and journal entries.
- Experience supporting audits, including grant compliance audits or Single Audits, preferred.
