Location: Richmond

The Administrative Assistant will provide administrative and project support to the Associate Vice President of Global Enterprise Services.

Responsibilities:

* Provide comprehensive administrative support to the Associate Vice President (AVP), including calendar management; travel, meeting, and event coordination; visitor reception; and receiving, screening, and directing incoming phone calls.

* Retrieve, compile, and analyze data from the GES information ecosystem to prepare accurate and confidential reports for the Executive Team, Board of Trustees, and other stakeholders, as assigned.

* Assist in planning and coordinating departmental meetings and provide administrative support for the AVP's participation in IMB meetings.

* Prepare and distribute meeting materials, including handouts, surveys, presentations, and related documents for the Executive Team and the GES subcommittee of the Board of Trustees.

* Attend meetings as required, record accurate meeting minutes, and ensure timely distribution of follow-up materials.

* Provide administrative support to the AVP's direct reports, as requested.

* Support annual budget development, monitor expenses, and maintain accurate expense tracking.

* Prepare and submit expense reports for the AVP and his/her direct reports in compliance with organizational policies.

Requirements:

* Associate's degree preferred.

* Minimum of five (5) years of administrative experience.

* Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).

* Demonstrated ability to produce accurate meeting minutes and professional correspondence.

* Experience with digital filing systems and electronic document management.
