About the Role
We are a growing sports company (~50 employees) headquartered in Troy, Virginia, seeking a highly organized and proactive Office Manager to serve as the operational backbone of our office and a trusted partner to the President. This is a dual-focus role that blends hands-on office and facilities management with high-level executive support - ideal for someone who thrives in a fast-paced, mission-driven environment and takes pride in making things run seamlessly.
The right candidate is a self-starter who anticipates needs before they arise, manages competing priorities with calm efficiency, and brings both operational discipline and professional polish to every interaction.
Key Responsibilities
Executive Support
- Manage the President's calendar, scheduling, and prioritization of meetings, calls, and commitments
- Coordinate domestic and occasional travel arrangements including itineraries, accommodations, and expense reconciliation
- Draft, proofread, and manage confidential correspondence, presentations, and reports on behalf of the President
- Prepare agendas, briefing materials, and follow-up action items for leadership meetings
- Responsibility of ongoing communications with IP Firm
- Handle sensitive and confidential information with the highest level of discretion and professionalism
- Oversee day-to-day office operations including supplies, equipment, mail, shipping, and workspace organization
- Manage vendor relationships and service contracts (facilities, IT, cleaning, security, equipment maintenance)
- Serve as the primary liaison for building management, coordinating maintenance requests and facility needs
- Manage office budget line items, process invoices, and track expenses against budget
- Ensure the office environment is professional, well-stocked, and operationally sound at all times
- Lead the planning and logistics of internal company events, team meetings, and off-site gatherings
- Supervise and support one or more administrative/office staff, providing day-to-day direction and mentorship
- Coordinate cross-departmental administrative needs and ensure coverage during absences
- Maintain and improve office systems, filing structures, and standard operating procedures
- Support onboarding logistics for new hires in partnership with HR (workspace setup, equipment, office orientation)
- Report Writing such as commission and royalty payments
- Assist with special projects and company initiatives as directed by the President
Required
- 3-6 years of progressive experience in an executive assistant, office manager, or combined administrative role
- Demonstrated experience supporting a C-suite or senior executive in a fast-paced environment
- Proven ability to manage facilities, vendors, and office operations independently
- Experience supervising or mentoring administrative support staff
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines simultaneously
- Strong written and verbal communication skills; professional and polished in all interactions
- High degree of discretion and sound judgment when handling sensitive or confidential matters
- Bachelor's degree in Business Administration or related field; equivalent experience considered
- Experience in a small company, startup, or entrepreneurial environment where adaptability is essential
