Elementary School Registrar
Position SummaryThe Elementary School Registrar is responsible for the accurate enrollment, withdrawal, and maintenance of student records in accordance with state, federal, and division requirements. The Registrar serves as a primary point of contact for families regarding student registration and records and provides administrative support to ensure efficient school operations.
Essential Duties and Responsibilities Student Enrollment and Records Management- Process student enrollments, transfers, withdrawals, and records requests.
- Verify residency, immunization, custody, and other enrollment documentation.
- Maintain accurate student information in the division's student information system.
- Ensure student records comply with applicable federal, state, and local regulations.
- Request, receive, review, and file student records from previous schools.
- Prepare and transfer records for students leaving the school.
- Monitor and update student demographic information as needed.
- Maintain cumulative files and ensure records are securely stored.
- Serve as a primary contact for parents and guardians regarding registration and student records.
- Assist families with enrollment procedures and required documentation.
- Communicate effectively with families, school staff, and outside agencies.
- Provide customer service in a professional, welcoming, and confidential manner.
- Generate enrollment and attendance reports as requested.
- Assist with state and division reporting requirements.
- Review data for accuracy and resolve discrepancies.
- Support student scheduling and class placement processes as directed.
- Assist school administrators and office staff with clerical and administrative tasks.
- Answer phones, greet visitors, and provide general office support as needed.
- Maintain confidentiality of student and personnel information.
- Participate in training and professional development activities.
- Perform other duties as assigned by the Principal or designee.
- Experience in a school office, records management, customer service, or related field preferred.
- Knowledge of student information systems and office software preferred.
- Ability to maintain confidential information and exercise sound judgment.
- Strong organizational, communication, and interpersonal skills.
- Ability to manage multiple priorities and meet deadlines.
- Knowledge of student records requirements and enrollment procedures.
- Skill in data entry and records management.
- Ability to communicate effectively with diverse populations.
- Ability to establish and maintain effective working relationships with students, families, staff, and community members.
- Ability to work independently while maintaining attention to detail.
- 12-month position.
