Job SummaryThis role supports Broadus Wood Elementary School by managing administrative and clerical functions, coordinating student registration, attendance, and related school operations. The office associate/registrar works independently and collaborates with department staff to complete complex assignments, maintain records, and provide customer service to parents, students, and staff.
Responsibilities- Complete complex administrative and technical assignments and maintain confidentiality of sensitive records.
- Handle time and attendance–related tasks, including data entry and reporting.
- Communicate with department employees regarding attendance programs and policies.
- Prepare budgets, reports, agendas, and meeting minutes as required.
- Greet and assist customers, visitors, and resolve difficult inquiries.
- Answer and screen unit/department phone calls, provide appropriate responses, and elevate issues when necessary.
- Monitor department accounts and perform bookkeeping tasks.
- Compose correspondence, letters, and memoranda for the department.
- Prepare and distribute complex unit/department reports.
- Maintain calendars for supervisors and schedule appointments with internal and external stakeholders, including board members.
- Coordinate coverage and other critical matters with peer administrative staff.
- Assist in onboarding logistics for newly hired employees.
- Collect, verify, enter, and keep database information current.
- Establish and maintain confidential files.
- Serve as primary contact for school registration, substitute teacher coordination, student attendance, and related programs.
- Create bulk mailings using databases and mail‑merge features.
- Maintain inventory of materials, supplies, and equipment; serve as first contact for office equipment maintenance.
- Provide office management oversight for the unit/department and serve as backup to the head in their absence.
- Serve on special or regular teams and committees as assigned.
- Supervise administrative positions within the department/unit as necessary.
- Comprehensive knowledge of standard office practices, terminology, procedures, equipment, and business arithmetic.
- Knowledge of departmental functions, school administration, organization, and policies.
- Ability to perform complex mathematical and statistical calculations.
- Ability to maintain large clerical records and prepare reports.
- Proficiency in business English and spelling.
- Ability to establish effective working relationships with employees, school officials, and the public.
- Proficiency with office equipment including computer, copier, postage meter, fax, printer, multi‑line phone, laminator, projector, and scanner.
- Intermediate to advanced proficiency in office‑related and department/school‑division‑specific software.
Any combination of education and experience equivalent to the attainment of a college certificate, associate degree, or diploma, plus a minimum of two years of increasingly responsible administrative or clerical work.
Physical ConditionsWork performed primarily in an office with occasional walking, light lifting up to 30 pounds, and other limited physical activities. Regular contact with internal units, external organizations, and the public.
