Job DescriptionJob Title: Administrative Assistant - Central Elementary
Reports To: School Principal
Job Type: 10‑month contract, Full-Time
FLSA Status: Nonexempt
SUMMARY Performs administrative assistant duties in the elementary school including the following responsibilities.
Essential Duties and Responsibilities- Compose or transcribe correspondence, bulletins, memorandums, and other materials.
- Maintain confidentiality of reports, records, and personal information about students, employees, and parents.
- Type letters, forms, reports and other materials.
- Greet visitors, determine nature of business, and direct them to appropriate destination.
- Provide direct administrative support to the principal and assistant principals.
- Coordinate schedules, meetings, and school events.
- Facilitate clear communication between administration, staff, students, and families.
- Manage school-wide communications, including announcements and notifications.
- Post media on social platforms and notify parents of important information.
- Support school events, testing, and special programs.
- Assist students encountering problems by providing resolution or directing them to appropriate staff.
- Answer telephone calls, provide information, take messages, or transfer calls.
- Manage office inquiries and direct to appropriate staff.
- Maintain a calendar of school events.
- Provide alternative coverage in office, classroom, and clinic.
- Assist with assigning substitutes for absent staff and making recommendations for long‑term substitutes.
- Enter discipline referrals.
- Other duties as assigned.
Thorough knowledge of standard office practices, procedures, equipment, and secretarial techniques along with business English, spelling, and arithmetic.
Ability to interpret and apply policies and procedures, type at a reasonable rate, and establish and maintain effective working relationships with others.
- Strong organizational, human relations, and communication skills.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
- Mathematical skill: add, subtract, multiply, divide, compute rate, ratio, percent, and interpret bar graphs.
- Reasoning ability: solve practical problems, interpret instructions in various formats.
High school diploma or GED; school‑related experience preferred.
Certificates, Licenses, RegistrationsValid Virginia Driver’s license.
Physical DemandsLocated in a moderate noise environment; frequent sitting, standing, walking, reaching, talking, hearing. Must lift and move up to 10 pounds frequently and up to 25 pounds occasionally. Vision requirements include close, distance, color vision, and ability to adjust focus.
Work EnvironmentThe environment is moderate in noise but can vary. Office, classroom, and clinic settings.
Terms of Employment10‑month contract; terms may vary based on needs of the school and division.
EvaluationPerformance will be evaluated in accordance with school board policy and administrative regulations on evaluation of classified personnel.
