Position: School Secretary-Secondary- ANTICIPATED (FT)
Location: Cape Charles

Anticipated, Full‑Time School Secretary:
Middle School Position Purpose

To assure the smooth and efficient operation of the school office so that the maximum positive impact on the education of students can be realized.

Salary

$33,355 - 50,621 (Commensurate with Experience)

Qualification Profile
  • High school diploma with post high school related course work preferred
  • Competency in business/finance functions.
  • Excellent skills in written and oral communication.

Computer expertise

Responsibilities
  • Provide prompt, friendly, courteous and accurate service to administrators, teachers, support staff, students, parents, and visitors.
  • Use appropriate office terminology, business mathematics, and English in communication and finance responsibilities.
  • Keep staff and student attendance records and report them accurately to the Central Office.
  • Type accurately and efficiently letters, statistical tabulations and data, form letters, memoranda, purchase orders, reports, grant applications, and other narrative materials.
  • Receive notification from teachers and other school employees of their absence and inform designated person to secure substitute as required.
  • Compile timesheets, verify mathematical accuracy, reconcile to school sign‑in/out sheets and Frontline Leave Requests and seek the Principal's approval each pay period and submit to Central Office.
  • Use good judgment in determining appropriate procedures and methods to complete business tasks.
  • Use a variety of office machines, computer equipment and software to complete business tasks.
  • Respond promptly and courteously to requests made in person or by telephone.
  • File promptly and accurately a variety of materials according to prescribed procedures.
  • Respond to students in a pleasant, courteous, and helpful manner while maintaining a professional office environment.
  • Assist teachers promptly and courteously in obtaining needed resources.
  • Assist students and parents promptly and courteously with registration, applications, forms, and procedures.
  • Maintain a helpful, pleasant, and professional attitude at all times.
  • Assist with the processing and distribution of report cards and interim reports.
  • Provide accurate information regarding preparation of grades, promotion, retention, and assessment to teachers.
  • Promptly and accurately enter into the computerized student information system (grades, discipline, change of address or telephone, etc.)
  • Perform such other tasks and assumes such other responsibilities as determined by the building administrators.
Additional Duties

Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of school office.

  • Computer expertise required.
  • Ability to process paperwork accurately according to standardized procedures.
  • Ability to maintain confidentiality of information regarding school district financial and other information.
  • Ability to establish and maintain cooperative working relationships with others contacted in the course of work.
  • Demonstrates skills in written and oral communication.
  • Knowledge of computers and educational practices.
  • Ability to get along with others, good judgment, tact, and courtesy.
  • Such alternatives to the above requirements as the School Board may feel appropriate and acceptable.
Physical and Mental Demands, Work Hazards
  • Exhibit manual dexterity to dial a telephone and to enter data into a computer.
  • See and read a computer screen and printed material with or without vision aids.
  • Hear and understand speech at normal levels, indoors, outdoors, and on the telephone.
  • Speak in audible tones so that others may understand clearly indoors, outdoors, and on the telephone.
  • Ability to understand and follow oral and written instructions.
  • Physical ability to lift up to 25 pounds.
  • Sit for extended periods of time.
