Deputy Clerk I
The Deputy Clerk I performs a variety of clerical support work for the Treasurer's Office in one or more of the following areas: personal property, income tax, real estate, animal licensing, general billing, tax software support and general office operations.
Examples of duties include:
- Providing clerical support for the department; processing a variety of documentation associated with department operations within designated time frames and per established procedures; receiving and responding to inquiries; composing and typing correspondence; typing materials from draft and/or handwritten copies; processing outgoing mail.
- Answering incoming telephone calls; providing information and assistance; recording/relaying messages or directing calls to appropriate personnel; initiating and returning calls as necessary.
- Performing customer service functions; providing assistance and information related to taxes, accounts, services, fees, payments, procedures, documentation, or other issues; researching account problems and ensuring payments are credited to proper accounts; assisting attorneys, paralegals, and title companies in researching accounts; responding to routine questions/complaints and initiating problem resolution.
- Receiving money in payment of personal property taxes, real estate taxes, business licenses, building permits, county publications, maps, or other fees/services; calculating taxes, penalties, and interest; processing and recording transactions; balancing daily receipts with monies collected; endorsing checks and preparing revenues for deposit; recording over payment refunds and mailing refund checks with correspondence.
- Processing monies received from other county departments; comparing payments with statements and identifying discrepancies.
- Generating printed tapes of monies/checks for bank deposits; balancing cash drawers; providing deposits and cash drawer reports to appropriate personnel; researching cash drawer shortages, overages or other discrepancies.
- Issuing animal license tags, and commercial business licenses; collecting payments and issuing receipts; maintaining records for animal tags, maintaining records for false alarms and rollback taxes; preparing daily balancing reports.
- Preparing tax bills for mailing; assisting in processing address changes and posting credits to real estate tax bills; preparing delinquent real estate tax bills for mailings; and pet license applications for mailings. Processing letters for insufficient payment on accounts.
- Preparing or completing various forms, reports, correspondence, receipts, bills/statements, insufficient payment notices, delinquent notices, animal tag reports, false alarms, processes mortgage company accounts, credit letters, state income tax letters, or other documents.
- Observing all approved safety and health policies and procedures pertaining to his/her work activities and performing all work tasks in a safe and healthy manner in accordance with County policy.
- Performing other assigned duties.
Physical demands include:
Sedentary work:
Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Requires the use of fingers, grasping, handling, hearing, kneeling, lifting, mental acuity, reaching, repetitive motion, speaking, talking, visual acuity, and walking.
Required qualifications:
- High School Diploma or equivalent;
- Related college classwork or previous customer service work experience.
Supplemental information:
All County employees may be required to report to serve our customers during emergency conditions. While some will perform their regular duties, others may be assigned to report at a different time and location and to perform different duties from their regular jobs. Employees will either be deemed essential personnel and provide services that must continue regardless of or pursuant to a state of emergency or will be deemed nonessential personnel that will be required to report to work in an emergency if they receive an assignment to shelter duty or other duty.
