Office Manager & Administrative Operations Coordinator

The Department of Agriculture at Virginia State University seeks a highly organized, collaborative, and service-oriented professional to serve as the Office Manager and Administrative Operations Coordinator. Reporting directly to the Department Chair, this position serves as the department's chief administrative professional and is responsible for coordinating the day-to-day administrative, financial, and operational functions of the department. The Office Manager and Administrative Operations Coordinator is the operational hub of the department, providing leadership and coordination for office administration, business and financial operations, faculty and student support, grant administration, communications, events, and departmental initiatives.

The successful candidate will work closely with faculty, staff, students, university administrative offices, Cooperative Extension, the Agricultural Research Station, alumni, and external partners to ensure the efficient and effective operation of the department in support of its teaching, research, extension, and outreach missions.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Demonstrated experience in office administration, business operations, or administrative coordination.
  • Experience managing budgets, purchasing, financial records, or business operations.
  • Excellent organizational and project management skills.
  • Strong written, verbal, and interpersonal communication skills.
  • Excellent customer service skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency with Microsoft Office Suite.
  • Ability to maintain confidentiality and exercise sound judgment.

Additional Considerations:

  • Associate's or Bachelor's degree in Business Administration, Office Administration, Public Administration, Higher Education, or a related field.
  • Experience working in higher education, government, or a public-sector environment.
  • Experience managing multiple funding sources, including state, federal, foundation, and grant-funded accounts.
  • Experience supporting sponsored research or grant administration.
  • Experience with Banner Finance and Student systems or comparable enterprise resource planning (ERP) software.
  • Experience with Commonwealth of Virginia procurement and financial procedures.
  • Experience supporting executive leadership.
  • Experience coordinating meetings, conferences, and special events.
