PositionSummary
The Office Services Assistant plays a vital role in supporting daily office operations and ensuring the facility remains organized and operational. This role involves managing mail and package services, maintaining office supplies, coordinating workspace and conference room setups, overseeing workspace turnover, and liaising with vendors and contractors. The position requires proactive facility inspections and a focus on maintaining a professional and efficient work environment.
Key Responsibilities- Mail and Package Services: Process incoming and outgoing mail; receive, track, and distribute packages; coordinate courier and carrier shipments; maintain mailroom records and mailbox assignments.
- Floor Plan and Occupancy Management: Update floor plans and seating arrangements; maintain employee directories and occupancy records; assist with office moves and workstation assignments.
- Cubicle and Workspace Turnover: Prepare vacated work spaces; coordinate cleaning and removal of items; ensure readiness for new occupants.
- Office Supply Management: Monitor inventory levels; reorder supplies through approved vendors; maintain accurate inventory records.
- Copier and Print Center Support: Replenish copier and printer paper; monitor toner and consumables; manage service requests and supply orders.
- Conference Room Management: Conduct daily inspections; verify setup, supplies, and technology; report maintenance or technology issues.
- Daily Facility Inspections: Walk through all floors; identify clutter, safety concerns, and housekeeping needs; report issues requiring remediation.
- Contractor and Vendor Coordination: Act as the onsite point of contact for contractors and vendors in the absence of supervisors; facilitate access and work location management; monitor activities and communicate status updates; ensure work areas are left clean and professional.
- Performance Standards: Deliver exceptional customer service; maintain a professional office environment; independently complete scheduled tasks; support office and facilities operations as needed.
- Professional proficiency in English (written and spoken).
- Proven ability to manage multiple administrative and facility support tasks independently.
- Strong organizational skills and attention to detail.
- Effective communication and interpersonal skills.
- Ability to coordinate with vendors, contractors, and internal teams.
- Basic knowledge of facility and office operations.
- Previous experience in an administrative/support role within a corporate environment.
- Familiarity with workplace management practices such as workspace organization, inventory replenishment, and vendor communication.
- Experience supporting office moves and workspace reconfigurations.
- Knowledge of safety procedures and building inspection practices.
- Proficiency in office productivity software and facilities management tools.
