Program Assistant
The Program Assistant has primary responsibility for the bookkeeping, payroll, and procurement responsibilities for the Office of Assessment Services. The Program Assistant also serves as the point of contact for building maintenance and as the liaison between the Office and vendors, schools, and parents.
Roles and ResponsibilitiesThe following information is intended to describe the overall nature and scope of the work being performed. This is not a comprehensive listing of all responsibilities or tasks; work may differ and other work may be assigned when deemed appropriate.
- Researches products, vendors, and supplies for purposes of procurement, makes payments and services, and reviews contracts.
- Creates and processes purchase orders.
- Manages the purchase card, travel card, fuel cards, direct pays, and reviews iExpenses for accuracy.
- Assists with compiling mailings and assessment materials for distribution.
- Documents, tracks and manages payroll, leave, and pay for part-time employees, to include payroll for Project Graduation.
- Helps prepare, track, and monitor the Office's budget and the budget for Project Graduation.
- Initiates and tracks work orders for building maintenance and office machines.
- Maintains the LCPS online payment portal for AP Testing and regularly communicates payment information with schools.
Below are the minimum qualifications for this job. Equivalent combinations of education and experience are also acceptable.
High School Diploma or GED
- Experience with budget management, payroll, accounting, procurement, and/or fiscal management; or any equivalent combination of education, experience, and/or training to perform the responsibilities of the position
- Knowledge of Excel, Outlook, Google and Facilities Direct
- Strong oral and written communication skills
