Location: Crozet

The Corporate Assistant – Design will oversee invoice and payment processing, vendor communication, budget tracking, and document management while supporting administrative and customer service functions across finance and design teams.

ESSENTIAL JOB FUNCTIONS

Process invoices and route for approval in accordance with internal approval limits and responsibilities.

Process check requests and coordinate overnight delivery to the appropriate recipients.

Process vendor ACH payments in a timely and accurate manner.

Communicate with vendors regarding payment status, discrepancies, and updates.

Partner with the internal Accounts Payable team to support payment processing and resolve issues.

Manage document filing and retrieval within OnBase.

Track budgets and invoice amounts in Notion to ensure alignment with approved budgets and contract terms.

Answer and route phone inquiries in alignment with the GREAT service initiative.

Develop a working knowledge of the design process to effectively route inquiries or provide accurate responses.

Enter, verify, and maintain accurate data and documentation in claims management systems and claim files.

Manage daily email correspondence and complete assigned action items.

Assist with preparing presentations and materials for business meetings.

Support departmental operations, including supply inventory and equipment coordination.

Coordinate department events and recognition activities and serve on the Department Representative Committee (DRC).

Perform additional duties as assigned.

SKILLS/EDUCATION/EXPERIENCE

Strong organizational and time management skills with the ability to manage multiple priorities and deadlines.

Ability to work independently with minimal supervision and self-manage workload.

Excellent written and verbal communication skills.

Ability to adapt quickly in a fast-paced, changing environment.

Demonstrated ability and willingness to learn new processes, tools, and responsibilities.
