Operations Coordinator
The operations coordinator serves as a centralized support role for logistics operations, ensuring the accuracy of shipment data, coordination of time-sensitive appointments, and resolution of service-impacting exceptions. Acting as a control point across functions, this position helps maintain service continuity and client satisfaction through proactive issue management, system execution, and cross-functional collaboration.
Key Responsibilities:- Accurately enter shipment details, service instructions, and customer requirements into the Transportation Management System (TMS) or World Trak.
- Maintain updated records of shipment timelines and appointment confirmations.
- Schedule pickup and delivery appointments based on routing plans and carrier availability.
- Coordinate with external partners and internal teams to confirm or adjust appointments as needed.
- Escalate missing or inconsistent information impacting order processing.
- Provide operational support across Shared Services functions.
- Adapt to shifting priorities and manage workload demands efficiently.
- Comply with the requirements of the company's Quality Management System.
Education:
- High school diploma or equivalent required.
- 1–2 years of experience in transportation, logistics coordination, customer service, or operational support roles.
- Proficient in verbal and written English communication, capable of conversating with account managers, internal teams, and external partners.
- Proven ability to manage shipment documentation, appointment scheduling, or exception handling.
- Demonstrated capacity to work with cross-functional teams under tight deadlines.
- Gained proficiency in internal tools such as TMS platforms, World Trak, Outlook, and Excel.
- Familiarity with domestic freight flows, including pickups, deliveries, and exception handling.
Education:
- Self-managed and proactive with strong organizational skills.
- Confident, collaborative, and able to communicate clearly across internal and external teams.
- Displays ownership, accountability, and attention to detail in daily tasks.
- Comfortable navigating multiple systems and prioritizing operational needs simultaneously.
- Remain in a stationary/seated position for an extended period.
- Regularly required to operate a computer, telephone, keyboard, and other office machinery.
- Specific vision abilities required by this job include close vision requirements due to computer work.
- The ability to hear, understand, and distinguish speech and/or other sounds, including during phone calls and virtual meetings.
