The Front Desk Assistant is responsible for scheduling appointments, greeting and checking in patients, verifying insurance and eligibility, processing payments, maintaining accurate patient records, and providing administrative support to ensure efficient clinic operations. This role works closely with the dental team to deliver exceptional patient service and support access to quality dental care.

This position is scheduled to work Mondays, Tuesdays, and one Wednesday per month (during pediatric clinic days). This position may have the opportunity to transition to a full-time role in 2027.

Key Responsibilities
  • Welcome patients and visitors in a professional, friendly, and compassionate manner.
  • Schedule, confirm, and manage patient appointments to maximize provider schedules.
  • Check patients in and out, collect required documentation, and maintain accurate electronic patient records.
  • Verify insurance coverage and eligibility, assist with prior authorizations, and communicate patient financial responsibilities.
  • Collect co-pays and payments, reconcile daily transactions, and prepare deposits.
  • Answer phones, respond to patient inquiries, and provide excellent customer service.
  • Support daily front office operations, including filing, mail distribution, and ordering office supplies.
  • Follow clinic policies and procedures regarding scheduling, cancellations, no-shows, and emergencies.
  • Collaborate with providers and staff to ensure efficient workflows and a positive patient experience.
Qualifications
  • High school diploma or GED required.
  • Previous experience in a dental or medical office preferred.
  • Strong customer service, organizational, communication, and multitasking skills.
  • Experience with electronic health records and dental practice management software is preferred.
  • Knowledge of dental terminology is preferred.
  • Bilingual (English/Spanish) is a plus.
  • CPR certification is preferred.

If you enjoy helping others, thrive in a collaborative environment, and are passionate about providing exceptional service to patients, we'd love to hear from you!
