Position Summary

The Director of Academic Services serves as a senior administrative leader within the Division of Academic Affairs and provides direct support to the provost in administering and operating the University’s academic enterprise. This position coordinates academic processes, supports strategic initiatives, facilitates communication among academic units, and ensures the effective implementation of policies, procedures, and institutional priorities. The Director serves as a key liaison among faculty, deans, department chairs, academic support offices, and university leadership while managing operational functions that advance academic excellence, institutional effectiveness, accreditation compliance, and student success.

Essential Duties and Responsibilities Academic Affairs Administration
  • Assist the Provost with the day‑to‑day administration of the Division of Academic Affairs.
  • Coordinate and monitor the implementation of academic policies, procedures, and initiatives.
  • Manage special projects and strategic priorities assigned by the Provost.
  • Serve as a primary point of contact for administrative matters within Academic Affairs.
  • Prepare reports, presentations, correspondence, and other materials for the Provost and university leadership.
Academic Operations
  • Coordinate academic calendars, schedules, deadlines, and operational processes across academic units.
  • Assist with faculty workload reporting, course scheduling reviews, and instructional resource planning.
  • Support the development and implementation of academic programs and initiatives.
  • Monitor compliance with institutional academic policies and procedures.
  • Facilitate communication and coordination among schools, departments, and administrative offices.
Accreditation and Compliance
  • Assist with accreditation activities, including SACSCOC reporting, substantive change documentation, and compliance initiatives.
  • Coordinate the collection and organization of academic data required for accreditation reviews and institutional reporting.
  • Support assessment, institutional effectiveness, and continuous improvement activities.
  • Maintain records and documentation required for state, federal, and accrediting agencies.
Faculty and Academic Personnel Support
  • Coordinate faculty appointment, promotion, tenure, evaluation, and contract processes.
  • Assist with faculty onboarding and orientation activities.
  • Maintain academic personnel records and related documentation.
  • Support academic leadership in policy interpretation and implementation.
Budget and Resource Management
  • Assist the Provost with budget development, monitoring, and resource allocation within Academic Affairs.
  • Track expenditures and budget performance across academic departments and initiatives.
  • Coordinate purchasing requests, contracts, and administrative approvals.
  • Assist in the preparation of financial and operational reports.
Governance and Committee Support
  • Coordinate meetings and activities of academic councils, committees, and governance bodies.
  • Prepare agendas, minutes, and supporting documentation.
  • Track action items and follow‑up activities resulting from committee decisions.
  • Support faculty governance processes and institutional decision‑making.
Other Duties
  • Represent the Provost on committees, task forces, and special projects as assigned.
  • Perform other duties as assigned to advance the mission and goals of Bluefield University.
Qualifications
  • Degree from an accredited institution.
  • Minimum of three years of progressively responsible experience in higher education administration.
  • Demonstrated experience in academic operations, administration, institutional effectiveness, accreditation, or related areas.
  • Strong organizational, analytical, and project management skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to manage multiple priorities while maintaining attention to detail.
