The Tides Inn is a beloved waterfront luxury resort nestled on Carter’s Creek in Irvington, Virginia. The resort has been cherished for generations and has recently undergone a number of renovations and enhancements that are repositioning the brand and overall experience. The resort features 70 luxurious accommodations, tennis and pickleball courts, a full‑service spa, an 18‑hole golf course, a functioning farm, Maker’s Space (artistic activities), its own large marina, and two cherished restaurants, including Salt & Meadow Restaurant.

As the resort has evolved, it is becoming more widely recognized for its elite programming, culinary experiences, and its commitment to environmental stewardship in addition to world‑class service.

Job Summary

The Event Services Manager is responsible for overseeing the planning and execution of all events sold by the sales team, including corporate meetings, weddings, and social gatherings. The role ensures each function is executed with precision and excellence, builds strong client relationships, delivers seamless event coordination, and drives revenue growth for the resort.

Essential Functions and Responsibilities
  • Prepare accurate cost estimates and BEOs based on contracted revenues and final details.
  • Develop program menus and agendas, issue BEOs in a timely manner, and complete all pertinent correspondence with in‑house colleagues and outside vendors to finalize programs.
  • Upsell events through the servicing process, securing addendums when applicable, to maximize revenue and profitability.
  • Conduct pre‑ and post‑event meetings with clients to ensure satisfaction and identify opportunities for continuous improvement.
  • Meet and greet clients, introduce them to applicable resort contacts, regularly check in on events to ensure service excellence, and see programs through to completion, including inspection of events to ensure quality and billing accuracy.
  • Conduct site inspections with qualified clients and industry professionals.
  • Uphold budgetary and revenue goals by managing contracts, maximizing food and beverage opportunities, and ensuring billing accuracy.
  • Keep up to date with client deposit schedules and forecast total estimated amounts due prior to arrival dates.
  • Monitor group room blocks, pick‑up, and attrition to ensure accurate booking information.
  • Represent the resort in industry organizations to generate business and market intelligence.
  • Provide consistent reporting to the Director of Events and Planning, including month‑end recaps and other assigned reports.
  • Serve as the primary liaison between clients and hotel departments to ensure flawless execution and clear communication, correcting deficiencies as needed.
  • Maintain close operations with the group rooms/sales coordinator, conference service professionals, and guest/VIP services to arrange accommodations, services, and special offerings, ensuring all contractual obligations are met.
  • Work across departments to coordinate group activities, dining reservations, spa appointments, etc., as the planning process evolves.
  • Maintain knowledge of competitive set destinations to keep the resort competitive.
  • Participate in applicable department meetings.
  • Maintain a flexible schedule, including weekends, evenings, early mornings, holidays, and modify hours as needed to ensure the best efforts.
