We are seeking an experienced and dynamic Conference & Retreat Reservations Manager to oversee the planning, coordination, and management of reservations for conferences, retreats, and group events. The ideal candidate will possess strong hospitality management skills, exceptional guest service abilities, and multitasking skills to ensure a seamless experience for our guests. This role requires a professional with a passion for hospitality and ideally previous experience in hotel operations, guest relations, and reservation systems.

Duties
  • Manage all aspects of conference and retreat reservations, including inquiries, bookings, modifications, and cancellations through multi-line phone systems and online platforms.
  • Coordinate with clients to understand their event needs, providing detailed information about available facilities, accommodations, and services.
  • Collaborate with hotel departments such as housekeeping, maintenance, and food & beverage teams to ensure smooth execution of reservations and guest experiences.
  • Maintain accurate reservation records using hotel management software; handle special requests and ensure timely communication with clients.
  • Oversee guest relations by addressing inquiries professionally via phone etiquette and in-person interactions.
  • Assist with collecting payments and sending invoices to groups to ensure financial accuracy and reporting.
  • Train and supervise staff involved in reservation processes to uphold service standards.
Skills
  • Ability to manage multiple tasks efficiently while maintaining attention to detail.
  • Excellent communication skills with professional phone etiquette.
  • Proven experience in hospitality management, hotel management, or resort operations.
  • Knowledge of hospitality industry standards and practices related to conference planning and guest accommodations.
