Job Summary

Assist the Community Manager by overseeing the financial and operational aspects of an apartment community. Responsibilities include accounting, bookkeeping, rent collection, vendor payments, lease enforcement, resident relations, and on‑site supervision in the Community Manager’s absence.

Job Responsibilities
  • Collect and post rent, fees, and other payments; prepare daily bank deposits and reconcile accounts.
  • Generate monthly close‑out and financial reports and process invoices and payables.
  • Operate York/One Site (or similar) property‑management software, entering all required data, maintaining backups, and ensuring system integrity.
  • Review resident files and accounting records to determine unpaid or late fees; communicate with residents, enforce lease terms, and pursue collections.
  • Submit vendor, contractor, and service‑provider invoices for payment by reconciling work performed, coding charges to the appropriate Chart of Accounts, and securing community manager approval.
  • Follow established eviction procedures, including proper notice, evicting residents, and representing the community in court hearings.
  • Process resident move‑outs, applying deposit and lease‑cancellation fees in accordance with legal requirements.
  • Promote resident satisfaction and retention by responding to complaints, questions, and requests promptly, and taking appropriate actions to resolve issues.
  • Act as on‑site supervisor when the Community Manager is absent, organizing work, coordinating maintenance, and ensuring compliance with company policies.
  • Assist in managing client/owner relationships by meeting owners, conducting community tours, providing performance updates, and responding to owner requests.
  • Support leasing and marketing activities by greeting prospects, gathering information, showing apartments, closing lease deposits, and assisting with rental applications and credit verifications.
  • For California locations only, review all move‑in files before submission to the Community Manager for final approval.
Education & Experience
  • Bachelor’s degree in Business Management, Communications, or related field.
  • 1–3 years of experience in residence life or property management, demonstrating financial recordkeeping, customer service, sales, and marketing responsibilities.
  • Understanding of lease terms, enforcement, and collections.
  • Excellent written and verbal communication skills.
  • Detail‑oriented, self‑motivated, capable of working independently and collaboratively.
Specialized Skills
  • All required state and local licenses or certifications must be held.
  • Valid driver’s license for operating a golf cart on property.
  • Proficiency in Internet, word processing, spreadsheets, and database programs.
  • Strong skills using property‑management software (Yardi, One Site, Entrata, etc.).
Travel & Physical Demands
  • Work primarily in an office environment with exposure to outdoor elements.
  • Physically access all exterior and interior parts of the property.
  • Lift or move up to 20 pounds independently or 50 pounds with assistance.
  • Local travel may be required for bank deposits, training, or other duties.
  • Occasional travel for business meetings, training, or special projects.
Compensation & Benefits
  • Hourly range: $22.00 – $25.00.
  • Base salary may be eligible for quarterly or annual bonus programs (corporate positions) or weekly/monthly/quarterly bonuses (on‑site positions).
