Team Overview

The Legal Administrative Assistant is a vital part of the US Legal Advocacy Team and will be responsible for assisting your assigned team members in a variety of administrative tasks.

Key Responsibilities
  • Act in a confidential capacity while anticipating and supporting the needs of assigned attorneys and team members.
  • Manage clerical responsibilities and special projects with direct supervision, including maintaining case files in the Litigation database and electronic document management systems.
  • Prepare, proofread, and edit legal documents, correspondence, binders (pleadings and research), basic court filings (including CM/ECF), pro hac vice motions, court admissions paperwork, and presentations, reports, and organizational charts.
  • Coordinate administrative functions, including managing Outlook calendars, scheduling meetings and events, arranging travel itineraries, maintaining office supplies/IT support, and serving as backup for other assistants.
  • Process operational tasks such as reconciling purchase card expenses, submitting invoices and vouchers, preparing shipping labels and packages (UPS/Fed Ex), and handling faxing, scanning, copying, and collating legal documents and exhibits.
  • Create, maintain, and organize hard-copy and electronic files while preparing client, court, and attorney correspondence and ensuring proper filing of court documents.
Minimum Qualifications
  • 1+ years of legal administrative experience.
  • Experience with Microsoft Office, including Word, Excel, and Outlook.
  • Strong administrative, organizational, and communication skills.
