About the PositionThe Program Support Technician provides essential administrative, data management, and operational support to the Vocational Training (VT) area, including the Work Readiness Program (WRP), with a strong focus on supporting virtual programming and off‑site training partnerships with community colleges, trade schools, and other external training providers. This role ensures accurate participant recordkeeping, smooth program operations, and coordinate communication across both on‑campus and off‑site instructional environments.
The position is critical in supporting WWRC’s expanding hybrid training model and strengthening collaborative pathways with external educational partners.
This is a wage (part-time) position and can’t exceed 1500 hours during their employment year. This position does not include health insurance, retirement or leave.
Key Responsibilities- Administrative & Program Support — Serve as the primary administrative support for virtual and off-site programming, coordinating communication between instructors, partners, and participants. Schedule staff meetings, manage virtual meeting logistics, maintain departmental phone lists, schedules, room listings, and intercom details, and support participant involvement in outside programs such as community college, trade school, and hybrid learning. Prepare departmental forms and materials, deliver PA announcements, assist with interview scheduling, and provide ongoing administrative and technical support to instructors and learners in virtual and hybrid environments.
- Records & Data Management — Prepare, scan, and index participant records into Doc Finity, including progress reports, completions, terminations, certificates, and credentials. Manage AWARE system activity for more than 170 participants annually by verifying procedure codes, updating statuses, entering program fees, and ensuring accuracy for both on campus and off-site learners. Enter WIOA credentials, certificates, and measurable skill gains (700+ annually), and maintain timely updates to educational goals and documentation required by external partners and virtual coursework.
- Event & Document Production — Support the planning and execution of VT Graduation Ceremonies, including scheduling, communications, programs, diplomas, mailings, facility setup and breakdown, equipment coordination, staffing coverage, interpreters, medical support, and music accompaniment. Assist with rehearsals, ceremony lineups, and briefing materials. Create and format technical documents, reports, and forms using advanced Word and Excel skills.
Knowledge of: various computer software and techniques (i.e. Excel, Access, Word for Windows, etc.); office policies and procedures; and, proper grammar and punctuation usage.
Skills in: use of word processing and other automated office equipment; multi-line telephones; and, public address system.
Ability to: prioritize and organize work; compose and edit letters and memos; maintain records and files; communicate effectively orally and in writing with public and staff; and, compile and maintain statistical data. Ability to interpret and apply established policies and procedures in the provision of services; to prioritize duties and exercise good judgment following established policy and procedures.
Additional ConsiderationsFormal secretarial and/or clerical training.
Some years of successful directly related experience.
