Position Summary

Performs intermediate skilled administrative support work serving as primary clerical support to the principal and staff. Serves as receptionist and telephone operator, prepares and maintains files and records, assists students and parents, and performs related duties as assigned. Work is performed under moderate supervision of the School Principal.

Essential Functions
  • Assist school administration with scheduling, writing correspondence, processing discipline reports and various other clerical duties.
  • Answer telephone, process mail, meet the public and provide information.
  • Contact and coordinate with substitute teachers or otherwise arrange for supervisory coverage of classrooms in the event of a teacher’s absence.
  • Maintain school staff attendance records; submit monthly reports to the central office.
  • Make daily announcements, both written and verbal, over the public address system.
  • Create and maintain various school documents and forms.
  • Manage the school’s on-site fire alarm and emergency alert system.
  • Assist with maintenance service requests.
  • Arrange and organize conferences; assist in setting up conference rooms.
  • Maintain and monitor lost and found and confiscated items.
  • Maintain, organize, and update various reports, schedules, and records.
  • Order and stock office supplies.
  • Act in the absence of the School Nurse regarding dispersion of daily prescribed student medication and basic first aid.
  • Assume other duties and responsibilities as may be assigned by the School Principal or appropriate administrator.
Knowledge,

Skills and Abilities
  • General knowledge of standard office practices, procedures, and equipment.
  • General knowledge of business English, spelling, and mathematics.
  • General knowledge of school system routine, personnel procedures, and record keeping.
  • General knowledge of basic first aid practices.
  • Skill in the use of computer equipment and related software packages, hardware, and peripheral equipment.
  • Ability to develop and follow detailed work procedures.
  • Ability to type accurately and at a reasonable rate of speed.
  • Ability to establish and maintain effective working relationships with associates, students, and the general public.
Qualifications,

Education and Experience
  • High school diploma or GED.
  • Moderate experience providing general office support and work dealing with the public, or an equivalent combination of education and experience.
  • Other alternatives to the above qualifications as the Board may find appropriate and acceptable.
Physical Requirements
  • This work requires the occasional exertion of up to 10 pounds of force.
  • Work regularly requires speaking or hearing and using hands to finger, handle or feel; frequently requires sitting and repetitive motions and occasionally requires standing, walking, stooping, kneeling, crouching or crawling, reaching with hands and arms and lifting.
  • Work has standard vision requirements.
  • Vocal communication is required for expressing or exchanging ideas by means of the spoken word.
  • Hearing is required to perceive information at normal spoken word levels.
  • Work requires preparing and analyzing written or computer data and observing general surroundings and activities.
  • Work occasionally requires exposure to blood borne pathogens and may be required to wear specialized personal protective equipment.
  • Work is generally in a moderately noisy location (e.g., business office, light traffic).
Special Requirements
