Registrar – Extended Day Enrichment Program (EDEP)

Position Type: Full‑time (12 months per year) – Starting immediately.

Salary: $22.30 to $27 per hour.

Job Description

Performs responsible technical and clerical work to provide detailed financial oversight and budget preparation for the Division's after‑school program.

Essential Functions
  • Administers all accounting functions, including purchase orders, balancing ledgers, and county books.
  • Develops and presents financial statements to the Director and/or Coordinator for each program, including revenue and projections.
  • Assists Director and/or Coordinator with budget preparations.
  • Completes and submits monthly, quarterly, and yearly reports to the Director and/or Coordinator.
  • Administers accounts receivable functions of the program, including billing agencies and individuals for services rendered, tracking delinquent payments, handling daily deposits to Fiscal Services Department, account posting, and reconciliation.
  • Assists school division employees and the general public with daily inquiries regarding accounts, bills, etc.
  • Oversees the Extended Day Enrichment Program (EDEP) student information system/database, maintaining registration, billing, posting of receivables, attendance, suspensions, late payment fees, scholarships, etc.
  • Provides manual billing, tax statements, and receipts for the general public as requested.
  • Handles all customer/parent contact, including phone and walk‑in inquiries.
  • Attends monthly and/or weekly meetings regarding the program as requested by the Director and/or Coordinator.
  • Types correspondence regarding the program independently.
  • Trains other users (e.g., Head Teachers, support staff) on the EDEP database.
  • Coordinates existing administrative procedures and user handbooks.
  • Works with other users daily to troubleshoot problems.
  • Checks and verifies data entry by other users.
  • Meets deadlines for processing and reporting student/revenue data.
  • Participates in development and delivery of division‑wide training for the EDEP database.
  • Works with the School Technology/Consultant to insure smooth operation of the database by troubleshooting problems and monitoring system security.
  • Prepares reports as needed for administrators for budget purposes.
Knowledge,

Skills and Abilities

Functional knowledge of bookkeeping terminology and methods, routine accounting principals; ability to maintain financial records and prepare reports and statements; rapid and accurate arithmetical computations; comprehension of complex oral and written instructions; operation of various office machines; effective interaction with coworkers and the public; demonstrated ability to work with little supervision, within constrained time frames, and at high levels of accuracy;

skill in budget analysis and development; ability to establish and maintain effective working relationships; strong oral and written communication skills.

Education and Experience

Any combination of education and/or experience equivalent to graduation from a two‑year college. Comfortable using Microsoft Office applications (Word, Excel, PowerPoint).

Physical Conditions and Nature of Work

Administrative clerical work typically performed sitting in an office with occasional walking, lifting office items up to 30 pounds, and frequent sustained operation of office equipment. Occasional secretarial duties beyond normal hours may be required. Frequent contact with clients who may be uncooperative or confrontational; such encounters must be handled with tact and diplomacy.
