Job PurposeAs an Administrative Assistant, you will provide clerical/administrative support to various levels of staff members of the corporate department.
Essential Duties & Responsibilities- Management of customers' accounts.
- Post daily company-wide receipts including cash, checks, and credit card transactions.
- Reconcile payments with individual customer invoices.
- Support collection efforts by mailing, calling, or emailing customers with past‑due balances or discrepancies.
- Assist with producing, reviewing, and mailing monthly statements.
- Communicate with other departments within the company to resolve customer account issues and reconcile accounts.
- Safety Administration:
- Data entry of new hires, safety class entry, producing and printing certificates and cards, creating and filing employee data.
- Track expiration recertification deadlines for training.
- Track expiration deadlines for DOT records.
- Clerical/Administrative work:
- Order office supplies.
- Mail retrieval.
- Bank deposits.
- Back‑up media monitoring.
- Marketing support.
- Assist with walk‑in customers and front desk sales.
CONFIDENTIALITY AND PRIVACY OF SENSITIVE INFORMATION ARE A MUST.
Qualifications- High School Diploma.
- At least 1 year of Finance/Back Office experience is required.
- Strong customer service skills.
- Must be proficient in Microsoft Office programs:
Outlook, Excel, and Word.
- Great interpersonal skills and proficiency in verbal and written communication in English.
- Ability to multitask and manage multiple priorities in a fast‑paced environment with frequent interruptions.
- Must be detail oriented.
- Ability to work successfully, both independently and within a team.
