Position: Part Time (max 29 hrs/week) 8:00 AM – 1:30 PM, Monday–Friday.
- Support Finance, Administration, and Material Management by staffing the reception area and managing daily office tasks.
- Provide high‑level customer service to staff, visitors, students, and occupants.
- Maintain filing systems and review and route official requests for departmental approval.
- Oversee the daily meeting schedule and maintain conference rooms.
- Greet guests, distribute mail, and respond to e‑mail.
- Work with end users on required corrections, route requests for approval, perform data entry, submit work orders, supply orders, and payment requests.
- Perform electronic receiving as necessary and assist the Office of Risk Management with claim documentation.
- Process departmental forms with a high degree of accuracy, manage time‑sensitive tasks, and ensure compliance with deadlines.
- Manage administrative tasks across departmental programs including risk management, leased operations, inventory, and receiving.
- Use multiple computer software programs for daily tasks.
- Excellent interpersonal communication skills.
- Ability to build and maintain cooperative relationships with colleagues.
- Strong verbal and written communication skills.
- Excellent organizational skills and great attention to detail.
- Ability to manage time and prioritize tasks efficiently.
- Proficient in emailing, typing, scheduling, note‑taking, and other basic administrative duties.
- Basic knowledge of standard office and administrative tools and equipment.
- Self‑motivated and able to work independently.
- Experience in an office environment.
- Experience with Microsoft Office Suite and Excel for data organization and analysis.
- Customer service experience.
- Experience working with Virginia State procurement (eVA), accounts payable/receivable policies.
- Proficiency in spreadsheet development and advanced Excel functions.
- Experience with Oracle‑based applications such as Peoplesoft AIS.
Basic to advanced knowledge of standard office equipment and software; ability to adapt to new systems; ability to perform accurate data entry and forms processing.
