The Administrative Coordinator provides administrative, scheduling, and customer service support to the assigned Department, administrative staff, QM and clinical staff, ensuring quality, efficient, and cost‑effective services.
Responsibilities- Serve as a resource for leadership and other department members, providing direction, answering questions, and resolving concerns.
- Facilitate payroll processes for staff using KRONOS, track vacation time, and enter hours into the time/attendance system.
- Collaborate with payroll representatives, educators, and management to facilitate licensed clinical staff licensure and regulatory compliance.
- Maintain databases and files, and effectively communicate with management and stakeholders.
- Participate in project management activities, including coordination of processes or events, such as meeting rooms, catering, and appointments.
- Provide technical support and utilize computer skills to create and maintain department records including databases, spreadsheet files, PowerPoint presentations, QM data, and graphs.
- Collaborate with the data analyst on specialized projects to meet deadlines.
- Compose and type correspondence and support the production of written materials such as agendas, minutes, and reports.
- Prepare monthly reports and assist in maintaining contract files or other documents.
- Keep files and reports confidential and handle difficult situations with tact and diplomacy.
- Associate degree or equivalent education.
- Four years of experience in data collection and analysis and/or advanced secretarial support.
- Two years of experience in data collection and analysis and/or advanced secretarial support (preferred in emergency services or physician practice).
- Advanced computer skills with knowledge of Microsoft Word, Excel, Access, spreadsheets, PowerPoint, and database software.
