Community Education Registrar - Extended Day Enrichment Program (EDEP)
Location: Albemarle County, Virginia
Employment Type: Full-time, 12 months/year

Salary: $22.30 to $27 Per Hour
Job DescriptionGeneral Definition of Work: Performs responsible technical and clerical work providing detailed financial oversight and budget preparation for the Division's after‑school program and related tasks.
Essential Functions- Administers all accounting functions including requesting purchase orders, balancing ledgers, and maintaining county books.
- Prepares and presents financial statements to the Director and/or Coordinator for each program, including revenue and projections.
- Assists the Director and/or Coordinator with budget preparations.
- Completes and submits monthly, quarterly, and yearly reports to the Director and/or Coordinator.
- Administers accounts receivable functions, billing agencies and individuals, tracking delinquent payments, handling daily deposits to Fiscal Services Department, account posting, and reconciliation.
- Assists school division employees and the general public with daily inquiries regarding accounts and bills.
- Maintains the EDEP student information system/database, including registration, billing, posting of receivables, attendance, suspensions, late payment fees, scholarships, etc.
- Provides manual billing, tax statements, and receipts for the general public as requested.
- Provides customer/parent contact support, including phone and walk‑in inquiries.
- Attends monthly and/or weekly meetings regarding the programs as requested by the Director and/or Coordinator.
- Types correspondence regarding the programs independently.
- Trains other users (e.g., Head Teachers, support staff) on the EDEP student information system/database.
- Coordinates existing administrative procedures and user handbooks.
- Works with other users daily to troubleshoot problems and checks/verifies data entry by other users.
- Meets deadlines for processing and reporting student/revenue data.
- Participates in the development and delivery of division‑wide training for the EDEP database.
- Collaborates with School Technology/Consultant to ensure smooth operation of the database, including troubleshooting and monitoring system security.
- Prepares reports as needed to administrators for budget purposes.
Functional knowledge of bookkeeping terminology and routine accounting principles; ability to maintain financial records; proficiency in quick and accurate arithmetical computations; strong oral and written understanding of complex instructions; capability of operating various office machines; effective interpersonal skills with co‑workers and the public; independent work with minimal supervision and high accuracy; skill in budget estimation analysis; effective communication of ideas orally and in writing.
Education and ExperienceAny combination of education and experience equivalent to graduation from a two‑year college. Must be comfortable using Microsoft Office applications, including Word, Excel, and PowerPoint.
Physical Conditions and Nature of WorkAdministrative clerical work performed primarily while seated in an office, with occasional walking and lifting office items up to 30 pounds. Regular operation of office equipment required. Occasional secretarial duties beyond normal hours may be required. Frequent contact with clients who may be uncooperative or confrontational; contact must be handled with tact and diplomacy.
EvaluationPerformance will be evaluated on the ability and effectiveness in carrying out responsibilities as outlined.
