Paralegal certification or NALA (Certified Legal Assistant/Certified Paralegal) or NFPA (Registered Paralegal) preferred - OR - any equivalent combination of education, experience and/or training sufficient to demonstrate the knowledge, skills and abilities is acceptable. High School diploma is the minimum requirement.

Physical requirements: This is sedentary work requiring the exertion of up to 20 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects. Regular required tasks include sitting; talking or hearing, in-person and virtual meetings; using hands to handle or operate standard office equipment; and reaching with hands and arms. The employee is frequently required to walk, bend, kneel, and stand;
in addition, use written and oral communication skills; read and interpret data, information and documents; analyze and solve problems; observe and interpret people and situations; use math and mathematical reasoning; learn and apply new information or skills. Specific vision abilities required by this job include close vision and the ability to adjust focus.

Job SummaryThis employee is a paraprofessional. The Deputy Clerk position in the Civil offices perform routine tasks to provide skilled administrative support to judges and quasi-legal services to the public. This position requires a distinctive capacity to quickly learn and retain complex and frequently evolving codified procedures. It involves front-line roles that serve as the public face of the office within each court department and in the courtroom setting.
A commitment to adhering to current office practices, relevant laws, and procedures is essential, along with the readiness to undertake responsibilities as assigned by senior management.
- Reviews, scans, files, and secures legal documents in accordance with legal requirements and established procedures
- Provides support to Circuit Court Judges, including during court proceedings
- Issues notices, subpoenas, capiases and writs, assists in scheduling civil cases for specific docket calls for each judge
- Maintains Circuit Case Management System, Financial Accounting System, Case Imaging System, Appeals Modules, Digital Appellant Record System, Case Form System and others dependent upon need
- Reviews daily and weekly reports related to case age to assure proper timely rules as provided by the Code of Virginia
- Handles applications for concealed handgun permits and generates permits for mailing
- Assists all senior staff in completing other assigned duties for the office knowledge
- Basic knowledge of financial transactions and receipting
- Knowledge of courtroom procedures, operations of the Clerk of the Circuit Court office, departmental procedures, guidelines;
Federal, State and County laws applicable to the operation of the Clerk skills
- Effective oral and written communication skills
- Must be an accurate, fluent typist able to prepare documents and transfer data into digital files in a fast-paced environment
- A high level of accuracy and attention to detail is crucial for ensuring the proper management of legal documents
- Ability to deal with situations requiring tact, diplomacy, fairness, and good judgment
- Ability to take necessary actions and maintain an effective working relationship with public, officials, judges, attorneys, and other agencies using both oral and writing skills
- Regular work attendance is required
- Ability to stay organized and efficiently manage multiple tasks is essential
- This role requires a high level of attention to detail and the ability to learn new software quickly
