Job Summary
:
Provide administrative support of a complex and confidential nature for the County Administrator, County Attorney, and Board of Supervisors. Also serves as Deputy Clerk to the Board of Supervisors.

Essential Job Functions
  • Provide administrative support for Board of Supervisors meetings by preparing background information; publishing and distributing meeting packets; notifying appropriate individuals; attending meetings, drafting, publishing, recording, and safekeeping minutes; and drafting follow-up correspondence, public notices, and memoranda
  • Provide confidential administrative support for County Administrator, County Attorney, Assistant County Administrator, County Legal Staff, and Board of Supervisors by drafting, preparing, and certifying documents; serving as receptionist; organizing, prioritizing, and distributing mail; and coordinating meeting and travel arrangements
  • Draft orders and legal documents for County Attorneys, communicate and respond to requests from social workers and court clerks; use specialized software to maintain detailed records for clients, as well as physical files; and maintain electronic calendars of court hearings
  • Draft pleadings, perform legal research, and manage discovery for cases
  • Maintain paper and electronic document and information files, including document imaging system; coordinate updates to the County Code, and maintain indexed filing systems (General, Legal, Contracts and Deeds, Board Meeting Information, and Minute Books)
  • Assume responsibility for a wide variety of administrative functions and details by coordinating office procedures, ensuring that public notices are prepared and published in a timely manner, maintaining a record of suspense dates requiring action by County Administrator, County Attorney or Board, organizing special events and meetings, and overseeing annual filing of Virginia Statement of Economic Interests and Real Estate Holdings as required by state law
Knowledge
  • Administrative and clerical procedures and systems such as word processing, managing files and records, transcription, designing forms, and other office procedures and terminology
  • Principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
  • Business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources
Skills
  • Mastery of typing skills
  • Organizational skills and attention to detail
