This is a clerical position that performs specialized duties pertaining to the safekeeping and custodial care of inmate records.
OrganizationThe Records Clerk reports to the Records Supervisor and supervises no staff.
Essential Functions- Review and update all court documents and keep the inmates’ files updated.
- Prepare inmate folders for release with Pamunkey Regional Jail, Department of Corrections, and other facilities for review of proper calculation of sentencing.
- Prepare daily court listing.
- Review and respond to inmate request forms in a timely manner.
- Answer and respond to all calls directly related to inmate records.
- Assist the public as needed (via window).

Requires a general level of clerical skills. Knowledge of standard office procedures and equipment, and computer literacy. Communication skills, oral, written, and verbal, are required. Basic knowledge of records maintenance and the ability to provide accurate responses to requests for information. Must be able to organize and prioritize work to meet deadlines with minimal supervision. The ability to establish and maintain effective working relationships with County officials, employees, and the public is required.
Education,Experience, and Trainin
Must be at least twenty-one (21) years of age;
High school graduate or equivalent required. Experience working with confidential files is preferred. Any equivalent combination of education, experience, and/or training sufficient to demonstrate the knowledge, skills, and abilities may be acceptable.
- Criminal Records Check, including fingerprinting
- Valid Commonwealth of Virginia Driver’s License
- Twelve-month probationary period
- Pre-employment physical examination, audiometric testing, drug testing, alcohol screening and repeated according to policy thereafter
- Must wear civilian uniform
- May have minimal inmate contact
