Human Resources Assistant

The Human Resources Assistant will provide high quality human resources assistance and exceptional customer services to staff, visitors, and the human resources team following all established protocols and procedures; maintain strict confidentiality of all human resources documentation and protected information.

Reports to the Director of Human Resources
Full‑time, Permanent Role

Hours:

8:00 a.m. to 4:30 p.m., Monday through Friday

Requirements MAJOR

ACCOUNTABILITIES / ESSENTIAL JOB DUTIES
  • Greet and assist all visitors to the human resources department and provide exceptional front desk customer service, including telephone communication.
  • Organize and maintain all related front desk materials to ensure other department professionals can locate items as needed and provide a high level of customer service.
  • Coordinate and process all pre‑employment requirements in a timely manner, ensuring all policies and procedures are followed.
  • Ensure all record‑keeping follows established protocols and that all information is maintained in a confidential, secure, and organized manner.
  • Coordinate the sign‑on bonus program, including the bonus agreements and tracking of payments.
  • Provide administrative support to manager and division vice‑president, including coordination, pickup and delivery of department mail and other support as requested.
  • Administer the organization’s flower ordering process for bereavement, birth, medical leave and other occasions as deemed necessary.
  • Present and communicate at all times in a professional and effective manner, modeling desired behaviors expected by employees of the organization.
  • Serve as backup to the Human Resources Associate and be familiar with related responsibilities and procedures.
  • Provide backup for new employee information data entry into the HRIS or other required systems.
  • Additional duties as assigned.
Physical Requirements
  • Work is primarily sedentary with frequent disruptions requiring standing and walking short distances and intermittent requirements to walk further across campus.
  • Must be able to lift 25 pounds without assistance, 26+ with manual or mechanical assistance.
  • Able to sit at desk for up to two or more hours at a time.
  • Ability to sit, stand and walk distances up to two miles per day.
Required Education And Experience
  • High School Diploma or equivalency.
  • Two years of directly related work experience or an equivalent combination of education and experience to fulfill duties and responsibilities of the position.
