Operations Coordinator (Hybrid)

About the Role

The Operations Coordinator is the organizational backbone for a group of League & Social Managers (LSMs) – our part-time staff who run games, support players, and represent CLUBWAKA on league nights.

You’ll keep leagues organized, staff supported, and game nights running smoothly—so players have an exceptional experience from season launch through the final whistle.

This is a hands‑on, ownership‑driven role ideal for someone who thrives on organization, accountability, and problem‑solving in a fun, fast‑moving adult rec sports environment.

What You’ll Do Manage League & Social Managers (LSMs)
  • Serve as the primary point of contact for 10–13 part-time LSMs
  • Support staff before league launches and throughout each season
  • Keep teams aligned on deadlines, expectations, and league standards
  • Follow up proactively when tasks are late, unclear, or off track
  • Address issues early and resolve them with sound judgment and professionalism
League Operations & Execution
  • Oversee league prep and in‑season operations, including:
  • Team shirt ordering and distribution
  • Game schedules and referee/umpire coordination
  • Welcome emails and league communications
  • Ensure all operational tasks are completed accurately and on time
  • Maintain clear visibility into what’s completed, pending, or needs attention
Customer, Vendor & Facility Support
  • Handle first‑line questions from players, volunteers, and staff
  • Act as an on‑site contact for facilities, vendors, and sponsors as needed
  • Provide friendly, professional support that reflects CLUBWAKA’s brand and values
What We’re Looking For
  • Experience managing part-time or hourly staff
  • Strong follow‑through and comfort holding people accountable
  • Clear, friendly written and verbal communication
  • Highly organized with strong administrative skills
  • Ability to work independently and prioritize in a fast‑paced environment
  • 2+ years of customer service experience
Nice to Have
  • Prior CLUBWAKA participation
  • Experience in sports, recreation, events, hospitality, or nightlife
