Introduction
Are you a detail‑oriented team player and self‑starter with experience in a construction, development, or regulatory environment? The Prince William County Fire Marshal’s Office is seeking an Administrative Coordinator to provide administrative, technical, and customer service support for Development Services, Fire & Rescue, and Law Enforcement staff. This position serves as a key point of coordination for customers, staff, and stakeholders, helping to manage records, process documentation, support permitting and development‑related activities, and ensure efficient day‑to‑day operations.

The successful candidate will serve as a point of contact for citizens, businesses, and partner agencies interacting with the Office of the Fire Marshal. Responsibilities include strong communication, customer service, multitasking, and prioritization skills, professional de‑escalation of challenging situations, and efficient daily operations management. The ideal candidate is detail‑oriented, maintains strict confidentiality, and has experience supervising staff in a fast‑paced environment.
Minimum Requirements- High School Diploma or G.E.D.
- 3 years of clerical, data entry or records experience.
- Experience supporting high‑level executives and staff.
- Experience supervising administrative staff.
- Experience developing SharePoint sites.
- FOIA knowledge and experience in processing requests.
- Thorough knowledge of Adobe Pro and ServU Large File Transfer application.
- Excellent customer service skills.
- Cash handling experience.
- Strong knowledge of building construction plan review and inspection processes and requirements.
- Familiarity working with permitting software – Ener Gov or other.
- Intermediate to experienced skill level with Microsoft Excel.
- Background checks, which may include criminal, credit, education, license verification, and/or fingerprinting.
- In compliance with Virginia State Board of Health regulations, a criminal background check through the Central Crime Records Exchange and the National Crime Information Center, plus a driving record transcript from the state Department of Motor Vehicles, is required by October 2012.
Monday‑Friday, 8:00 am – 4:30 pm. The position may be eligible for teleworking after a 6‑month training period. Flexibility is required as business needs may change.
Salary Range$28.32 – $40.69 per hour.
