Customer Service Rep, Office Administrator/ Coordinator
This position reports directly to the Chief Deputy Treasurer and serves as a primary customer service representative both at the counter and on the telephone. Work involves high-volume customer interaction, DMV processing and support, payment entry, returned-mail resolution, and technical troubleshooting in an automated, busy, and often seasonal, fast-paced environment.
Processing customer payments at the counter with accuracy and efficiency, demonstrating strong attention to detail and a commitment to high-quality customer service.
Downloading and posting electronic payments from multiple sources in a timely manner, researching and reconciling errors, and ensuring accuracy and adherence to established procedures.
Processing mail-in and drop-box payments with precision and consistency.
Answering customer account questions, in person, by phone, and via email, using effective communications, active listening, and problem-solving skills.
Working at the DMV counter, including taking customer payments and issuing titles, registrations, license plates, handicap passes, EZ Pass transponders, and driving records, while ensuring compliance with DMV regulations and identity-verification standards.
Handling DMV operations from open to close, including daily reconciliation of DMV transactions and ensuring staff adherence to all DMV CSCOM standards and required protocols.
Troubleshooting DMV system issues and serving as the first line of support for Treasury staff, answering questions, providing guidance, and ensuring staff can resolve routine DMV processing challenges efficiently and accurately.
Replenishing DMV supplies and always ensuring DMV operational readiness.
Running weekly, monthly, and annual inventory audits, applying inventory-control skills and maintaining accurate documentation of controlled items, while complying with all retention destruction procedures.
Responsibility for daily cash, check and credit card balancing, demonstrating reliability, numerical accuracy and adherence to financial controls.
Reconciling DMV stops that were removed or deleted against DMV state reports, ensuring accuracy, completeness, and compliance with DMV reporting requirements.
Serving as customer phone support backup, providing professional and responsive assistance as needed.
Serving as backup for mail processing and distribution, ensuring timely handling of incoming and outgoing correspondence.
Serving as backup for uploading remote deposits to the bank, following established financial procedures.
Serving as backup for administering Lifetime Dog License Program, including processing payments, updating rabies information and issuing lifetime dog tags.
Serving as backup for researching return mail using Clear.to verify customer information and support accurate account resolution.
Serving as backup for daily receipt balancing, demonstrating reliability, numerical accuracy and adherence to financial controls.

Graduation from high school.
Necessary Knowledge, Skills, and AbilitiesPatient, service-oriented, pleasant, outgoing and detail-oriented.
Effective spoken and written communication skills.
Skill in the operation of office machines (10-key, fax, computer, copiers, printers, scanners, etc.).
Strong basic math skills, with the ability to make rapid and accurate computations.
Ability to perform detailed work accurately, maintain follow-up, assist customers - both pleasant and unpleasant.
Ability to maintain effective working relationships with employees and the public.
Proficiency in Microsoft Office Suite, especially Excel.
Basic typing skills (25 wpm).
Additional Desirable QualificationSpanish fluency is a plus.
Special Certifications and LicensesObtaining the Master Governmental Deputy Treasurer designation within 3 years, contingent upon available training budget funds, and actively pursuing required coursework and professional development to meet all certification standards.
