The Virginia Youth Soccer Association (VYSA) is one of the largest youth soccer organizations in the United States, serving over 125,000 players in Virginia and the District of Columbia. As a member of US Youth Soccer, VYSA administers programs such as the Olympic Development Program (ODP), State Cup, and Coaching Education. VYSA owns and operates the Virginia Soccer Training Center, a 50-acre soccer complex located between the Washington, DC and Richmond metropolitan areas.
The organization supports player and coach development while hosting major regional events, including the Region 1 Championships of USYSA. VYSA offers a mission-driven environment focused on growing youth soccer and providing quality experiences for players, families, and coaches.
The Finance and Administration Coordinator is a full-time, on-site role based in Virginia, United States. This position supports day-to-day financial operations, including processing invoices, recording transactions, assisting with payroll, and maintaining accurate financial records. The coordinator helps with budgeting activities, preparation of financial reports, and reconciliation of accounts in coordination with senior staff and external partners. Administrative responsibilities include managing documentation, supporting registration and event-related financial processes, and handling general office tasks.
The role requires consistent communication with internal teams, member clubs, and vendors to ensure smooth operations and adherence to organizational policies.
The Finance and Administration Coordinator is responsible for the financial management, accounting operations, and administrative infrastructure of Virginia Youth Soccer Association (VYSA). This position oversees financial reporting, payroll, budgeting, compliance, and human resource administration while ensuring the organization maintains sound financial practices and strong operational controls.
This role works closely with the CFO, Executive Director, department leaders, and the Board of Directors to provide financial insight that supports program operations, strategic planning, and long-term organizational sustainability.
The Finance and Administration Coordinator also lead internal administrative systems and ensures VYSA complies with all financial, tax, and regulatory requirements associated with nonprofit organizations.
Primary Responsibilities- Maintain and oversee the general ledger and accounting systems for VYSA.
- Prepare and reviewjournal entries, accruals, and financial reconciliations.
- Ensure accurate financial reporting across all VYSA programs and departments.
- Maintain subsidiary ledgers and ensure alignment with balance sheet accounts.
- Monitor revenue and expenditures to ensure financial integrity across programs.
- Implement and maintain internal financial controls and accounting procedures.
- Produce monthly, quarterly, and annual financial reports.
- Prepare financial summaries for theCFO/CAO, Executive Director and Board of Directors.
- Provide financial analysis and reporting to program managers as needed.
- Assist leadership with financial forecasting and long-term financial planning.
- Assist with the preparation of theannual organizational budget.
- Work with department leaders to ensure program budgets are developed accurately.
- Monitor expenditures throughout the year to ensure compliance with approved budgets.
- Provide financial analysis to support program fee structures and event budgeting.
- Oversee accounts payable processing and ensure vendor payments are completed accurately and on time.
- Review payable transactions including corporate credit card expenditures.
- Resolve complex vendor payment or invoicing issues.
- Maintain accurate receivable records for all VYSA programs and operations.
- Work closely with internal departments to ensure timely invoicing and collection.
- Monitor outstanding receivables and support collection processes when needed.
