THE SCHEDULE FOR THIS POSITION IS MONDAY THROUGH FRIDAY 11:00 AM TO 7:30 PM.PRINCIPAL ACCOUNTABILITY The Clerical Assistant (CA) provides entry-level administrative and customer service support to the Donor Notification Department. This position works within established procedures and responds to routine inquiries, processes program enrollment and donor notification materials, maintains departmental records, and supports communication with donors, Carter Blood Care (CBC) employees, consignees, and Medical Services physicians.
The CA assists with ensuring that information and documentation are handled in a timely, accurate and confidential manner and refers questions requiring additional review or interpretation to the appropriate departmental team member.
The CA exemplifies and champions CBC Core Values and Code of Conduct and adheres to CBC policies and applicable Standard Operating Procedures (SOPs). To support ongoing development and organizational goals, the CA is required to attend meetings and training sessions, as assigned. This position exercises discretion, maintains an exceptionally high level of confidentiality, uses sound judgment when handling sensitive issues and complies with HIPAA requirements
This position may require working varied shifts, extended hours, weekends, and/or overtime to support operational needs. Regular, full-time attendance is required during normal working hours.
EDUCATION High School Diploma or GED equivalentEXPERIENCEMinimum of 1 year of healthcare, blood center, professional services or retail customer service/support experience
Blood center or medical/healthcare setting experience, preferred
Data entry experience, preferred SKILLS AND KNOWLEDGE Strong attention to detail and organizational, typing and data entry skills
Ability to work independently, exercise sound judgment, and contribute effectively to a team environment
Effective verbal, written, interpersonal, and telephone communication skills
Ability to provide professional customer service in sensitive or stressful situations
Ability to follow procedures, prioritize work, and meet deadlines
Computer knowledge and MS Office skills;
Ability to learn CBC-specific systems EQUIPMENT USED Computer and associated equipment, along with common software and CBC-specific applications/programs, used by this position
General office supplies and equipment, including telecommunications
Equipment associated with the department (e.g., Kofax imaging equipment)
PHYSICAL/MENTAL STRESS FACTORS Frequent telephone communication with donors regarding sensitive eligibility or test-result information, including interactions with individuals who may be distressed or confused;
Ability to recognize matters outside the scope of the position and to escalate them appropriately
Stress associated with managing detailed, repetitive tasks while maintaining confidentiality
Ability to move throughout the facility and between work areas
Ability to bend, move, and carry items weighing up to 20 pounds
Stress associated with potential exposure to blood, blood components, and other biohazardous materials
