Supply Control Coordinator – Washington Dulles International Airport

- Daily inventory, ordering, maintenance, and control of all division parts, materials, and supplies.
- Research technical manuals, manufacturers, distributors, and reverse-engineering sources to locate replacement parts.
- Purchase materials using the Purchase Card (P‑Card) in accordance with the P‑Card Program and assist COTRs with recurring high‑volume orders.
- Maintain stock levels to support ongoing 24‑x‑7‑x‑365 maintenance operations.
- Receive, manage, organize, stock, and issue parts, materials, and supplies; coordinate use with supervisors, planners, and technicians.
- Log all items into the appropriate database, conduct quarterly cycle inventories, and maintain inventory records.
- Investigate critical material shortages and delays, improving processes to prevent recurrence.
- Locate suppliers, obtain pricing and availability data, and ensure compliance with procurement guidelines.
- Identify substitutes or fabrication options for obsolete or modified parts, ensuring OEM technical specifications are met.
- Execute remediation plans for inadequate supplies or equipment.
- Assist in recommending policies and procedures for inventory control as needs change.
- Provide immediate attention to customer requests and maintain efficient flow of completed bills of material (BOM).
- Assist planners/schedulers in analyzing, planning, and reviewing BOMs to determine needed parts, quantities, and dates.
- Conduct weekly reconciliation of P‑Card transactions in Workday in accordance with Finance Department policies.
- Perform supply functions to support requisition and tracking, maintaining associated files and records.
- Conduct follow‑up queries with procurement staff to ensure timely delivery of materials.
- Potentially serve as a Contracting Officer’s Technical Representative on small service or material contracts.
- Perform other duties as assigned.
- Four years of progressively responsible experience coordinating materials and equipment for maintenance and repair.
- Proficiency in inventory control, using an inventory system to document receipt, storage, issuance, backlogged items, vendor updates, and report generation.
- Ability to forecast equipment and material needs and procure required resources.
- Knowledge of solicitation or purchasing methods for small purchases, ensuring price reasonableness and compliance with Authority procurement processes.
- Capability to manage procurement logistics and achieve just‑in‑time inventory control.
- Basic knowledge of plumbing and electrical supplies and ability to coordinate between utility functions and supply/warehousing functions.
- Safe work practices and adherence to safety rules, regulations, and procedures.
- Basic data analysis skills.
- Effective verbal and written communication skills.
- Computer proficiency, including use of a computerized work order and time‑attendance system.
- Knowledge of Equipment Maintenance platforms (light, medium, and heavy mobile equipment, propulsion, auxiliary engine systems, hydraulic drive, HVAC, basic electrical systems).
- Knowledge of facility utility systems (high‑temperature hot water, natural gas, domestic water, sanitary sewer, plumbing).
- Experience using a computerized warehouse inventory system.
- High school diploma or Certificate of General Educational Development (GED).
- State driver’s license in good standing.
- Operate vehicle landside and airside (requires AOA permit).
- Work requires moderate to heavy physical exertion, lifting up to 50pounds.
- May bend, stoop, crouch, and work in cramped positions.
- Subject to hold‑over and recall on a 24‑hour basis for essential services and emergencies (e.g., snow removal).
- May be exposed to adverse weather conditions, dust, grease, and dirt.
