POSITION SUMMARY

The Acquisition/Transaction Manager plays a key leadership role in overseeing the operational transition of newly acquired or newly managed assets within a multifamily property management portfolio. This position ensures a seamless takeover process by coordinating with internal departments, sellers, third-party vendors, and on-site teams. Acting as the temporary Regional Manager, this role sets up properties for long-term success by stabilizing operations, ensuring compliance, and supporting team onboarding immediately following a management or ownership transition.

ESSENTIAL

FUNCTIONS AND RESPONSIBILITIES Operational Takeover & Transition Management
  • Lead and coordinate all operational aspects of new property acquisitions, management transitions, or post-closing handoffs.
  • Develop and manage takeover plans, task lists, and critical timelines to ensure seamless handoffs.
Due Diligence & Pre-Closing Coordination
  • Participate in due diligence efforts including site visits, document review, rent roll analysis, and assessment of operational procedures.
  • Collaborate with the acquisitions, legal, and finance teams to ensure key findings are addressed before closing.
  • Identify potential operational challenges and develop mitigation strategies.
Team Support & Onboarding
  • Onboard and train site teams during the transition period to ensure alignment with company policies, procedures, and systems.
  • Ensure property staff has the necessary tools, access, and resources to successfully operate post-transition.
  • Serve as the point of contact for on-site leadership during the stabilization phase.
System & Process Implementation
  • Ensure timely setup of all systems including property management software (Yardi, Real Page, etc.), vendor accounts, leasing platforms, and communication protocols.
  • Oversee the integration of financial reporting structures, budgeting tools, and leasing documentation.
  • Collaborate with IT and Accounting to ensure seamless data migration and system access.
Compliance & Risk Management
  • Ensure all lease files, resident notices, and property operations meet compliance standards during transition.
  • Coordinate with legal and compliance teams to address any discrepancies or regulatory issues inherited during acquisition.
  • Conduct audits of operational practices and recommend improvements.
Stakeholder Communication
  • Act as a liaison between internal stakeholders, ownership groups, sellers, and property teams.
  • Provide regular status updates to executive leadership on transition progress, risks, and resolution plans.
  • Facilitate post-transition debriefs to evaluate outcomes and improve future processes.
Qualifications
  • 5+ years of multifamily property management experience, with strong knowledge of lease-ups, stabilized assets, and value-add properties.
  • Proven experience in managing acquisitions, transitions, or regional operations in a leadership role.
  • Strong understanding of property management systems (Yardi, Real Page, etc.), Fair Housing, and operational best practices.
  • Excellent organizational, communication, and project management skills.
  • Ability to lead teams through change, foster collaboration, and resolve complex challenges under tight timelines.
Working Conditions
  • This position requires regular travel, particularly during active transition periods.
  • Flexibility in work schedule, including occasional evening or weekend availability, may be needed during closings or handoffs.
