Position: Complex Sales Coordinator, DoubleTree and Embassy Suites Crystal City Complex

The Double Tree by Hilton Hotel Washington DC – Crystal City and Embassy Suites by Hilton Crystal City Complex is looking for a Complex Sales Coordinator to join their team.

The Double Tree Crystal City offers 627 guestrooms and 35,000 sq. ft. of meeting space, making it ideal for large groups, while the Embassy Suites Crystal City provides 269 guestrooms and 5,000 sq. ft. of meeting space, perfect for smaller meetings.

Our ideal candidate has at least one year of experience in hotel group sales or a solid background and understanding of hotel operations. They are proficient in Microsoft Office applications and demonstrate exceptional attention to detail. This individual takes a proactive approach to managing workloads, thrives in a fast‑paced environment, and excels at multitasking while maintaining accuracy and efficiency.

This role also supports the Group Sales team with administrative tasks, correspondence, and preparation for client site visits. The ideal candidate should have prior experience in a hotel environment, strong inter‑departmental communication skills, and proficiency in Microsoft Office. Familiarity with hotel software systems—or the ability to learn them quickly.

Shift Pattern

Office Hours 8:30 AM – 5:00 PM, with the ability to flex times on occasion for client engagement.

What will I be doing?
  • Provides support to Group Sales Managers with proposals, client correspondence and contract preparation.
  • Answers phones and emails to assist internal and external guests with requests.
  • Data entry using Delphi.fdc, Microsoft Word and Excel.
  • Prepares for client site inspections for assigned sales manager.
  • Attends assigned weekly sales departmental meetings and other scheduled meetings to support business operations, such as group pick‑up meetings, weekly resume meetings, and daily sales meetings.
  • Assigns group leads to appropriate sales manager based on market parameters.
  • Runs reports through Delphi and performs systems administrative duties (ensuring accuracy of all definite groups in the system).
