Job Summary

The Purchasing/Receiving Warehouse Clerk supports resort operations by ensuring the accurate and timely receipt, inspection, storage, and distribution of goods and supplies. The role works closely with purchasing, culinary, housekeeping, and maintenance teams to maintain inventory levels and operational efficiency, ultimately supporting cost control, product quality, and guest satisfaction.

Essential Functions and Responsibilities
  • Maintain regular and reliable attendance.
  • Receive, inspect and verify incoming shipments against purchase orders and packing slips.
  • Record all received goods in inventory systems and maintain documentation of deliveries.
  • Store products in designated areas, maintaining organization, FIFO rotation, and safety standards.
  • Communicate discrepancies, damages, or shortages to the Purchasing Manager or appropriate department promptly.
  • Distribute goods and supplies to resort departments efficiently and accurately.
  • Maintain cleanliness and organization of warehouse, receiving dock, and storage areas.
  • Assist with inventory counts, audits, and reconciliation processes as required.
  • Ensure compliance with safety, sanitation, and resort policies and procedures.
  • Support purchasing functions, including order tracking and vendor coordination when needed.
  • Demonstrate professionalism and effective communication when interacting with team members and vendors.
  • Utilize basic computer skills (Microsoft Word, Excel, email) for record‑keeping, reporting and label creation.
  • Conduct periodic inventory counts, including expiration date checks and physical inventories.

Qualifications
  • Experience: Preferred experience in warehouse, receiving, purchasing or inventory control in a hospitality or resort environment.
  • Skills: Strong organizational ability, attention to detail, basic math and data entry skills, ability to manage multiple tasks in a fast‑paced environment.
  • Education: High school diploma or equivalent.
  • Certifications/Requirements: Valid driver’s license required. Forklift certification required if encountering forklift tasks.
Physical Requirements
  • Work Environment:
    Warehouse, receiving dock, storage areas with occasional outdoor exposure at loading/unloading zones; temperature variations possible.
  • Equipment:
    Computer, inventory management systems, handheld scanners, phone, copy machine, pallet jack, forklift (if certified), carts, basic warehouse tools.
  • Sit 10 %, Stand 50 %, Walk / Bend 40 %.
  • Lifting up to 50 pounds regularly; ability to lift heavier items with assistance or equipment.
  • Vision:
    Close vision for data entry & inventory systems; distance vision for navigation of warehouse and dock.
  • Hearing:
    Effective communication with team, vendors, drivers; ability to hear equipment operation and safety signals.
  • Travel:
    No travel required.
  • Driving:
    May operate golf carts or company vehicles;
    Motor Vehicle Record monitoring may apply.
  • General:
    Ability to work in fast‑paced environment, perform repetitive tasks, handle frequent lifting, maintain physical stamina throughout shift; fine‑motor skills for operating equipment and following safety procedures.
