Job Description
NOTE:
This role is based in New York City and encourages a minimum of two days per week in the SoHo office. Some roles or teams may require additional in-office attendance if the essential functions of the role require it.
This is a fast‑paced, high‑profile position supporting the Sr. Vice President of Trade Sales. The role spans administrative tasks, sales reporting, and collaboration across all departments within Trade. It is ideal for a motivated, detail‑oriented, and independent individual who wants to learn about children’s publishing.
Responsibilities- Create and distribute weekly sales reports and analysis to the Leadership team, including seasonal updates.
- Coordinate and plan three national sales conferences a year, including organizing weekly meetings, creating agendas, maintaining attendee lists, creating and distributing meeting materials, and maintaining budgets.
- Send agenda and notes for two Sales Review meetings each month—coordinate with SVP Trade Sales.
- Update terms of sale, including meeting compensation agreements and stock offers.
- Create and distribute laydown contracts.
- Communicate sales feedback to publishers in monthly call reports.
- Field publisher requests for sales data, business reviews, and partner with marketing on sales assets.
- Maintain new representative set‑up and account coding in Oracle; approve invoices in Catalyst.
- Provide administrative assistance for SVP Trade Sales, including calendar management, arranging business travel, and managing expense reports.
- Self‑starter who thrives in a fast‑paced environment.
- Excellent oral and written communication skills.
- Excellent organizational and analytical skills with attention to detail.
- Skilled in Microsoft Office—particularly Excel, Word, and PowerPoint.
- Professional demeanor—phone skills, excellent interpersonal skills with ability to relate to staff members at all levels.
- Ability to work independently and prioritize workflow to meet critical deadlines.
- Self‑motivated, disciplined, commitment to quality and strong team player.
- Ability to be flexible and adapt to change.
Experience:
Entry level but office experience preferred.
Education:
Associate’s Degree or College Diploma.
Annual Salary: $52,000.00.
