JOB SUMMARY

The Administrative Assistant reports to the Payroll Coordinator and provides administrative support to the Finance Department.

ESSENTIAL JOB RESPONSIBILITIES

  • Ability to hold confidential information, exercise goodjudgementanddemonstrateawareness of other people’s needs.
  • Act as a backup to A/P, A/R and Payroll Departments as requested by supervisor.
  • Organize work and set priorities to meet established deadlines.
  • Assist in the process of various data entry projects for the fiscal department, including but not limited to daily journal entries and A/P check logs.

    File Fiscal documents including billing invoices, computer reports, journal entries and paid invoices.
  • Answer incoming calls. Direct calls to staff or departments through the Mitelsystem.
  • Maintain telecommunication system by following manufacturer's instructions for phone and console operation,copier sand postage.

    Schedule repairs when needed.
  • Maintain and manage department filingstorages, both internal and external (Jack n Jeff Storage). Retrieve stored file boxes per department requests.
  • Order office and general supplies as requested andallocateexpenses to various departments and process Amazon orders as requested.
  • Maintain breakroom,stock with general supplies as needed and clean at the end of each day
  • Will think and act quickly and efficiently in emergencies.
  • Will drive on Agency business.
  • Physical presence at the program is required.
ESSENTIAL JOB REQUIREMENTS
  • High school diploma or equivalent.
  • One (1) or more years of experience in an office environment.
  • Detail oriented.
  • Basic computer skills in Office 365, Teams, Zoom and other communication/meeting platforms.
  • Possess a valid driver’s license and have access to a dependable means of transportation that is properly insured and operated in accordance with all laws. Agency insurer authorization is required.
  • Ability to pass a pre-employment criminal background check.
  • Ability to pass a pre-employment drug screen, and TB test.
