JOB SUMMARY
The Administrative Assistant reports to the Payroll Coordinator and provides administrative support to the Finance Department.
ESSENTIAL JOB RESPONSIBILITIES
- Ability to hold confidential information, exercise goodjudgementanddemonstrateawareness of other people’s needs.
- Act as a backup to A/P, A/R and Payroll Departments as requested by supervisor.
- Organize work and set priorities to meet established deadlines.
- Assist in the process of various data entry projects for the fiscal department, including but not limited to daily journal entries and A/P check logs.
File Fiscal documents including billing invoices, computer reports, journal entries and paid invoices. - Answer incoming calls. Direct calls to staff or departments through the Mitelsystem.
- Maintain telecommunication system by following manufacturer's instructions for phone and console operation,copier sand postage.
Schedule repairs when needed. - Maintain and manage department filingstorages, both internal and external (Jack n Jeff Storage). Retrieve stored file boxes per department requests.
- Order office and general supplies as requested andallocateexpenses to various departments and process Amazon orders as requested.
- Maintain breakroom,stock with general supplies as needed and clean at the end of each day
- Will think and act quickly and efficiently in emergencies.
- Will drive on Agency business.
- Physical presence at the program is required.
- High school diploma or equivalent.
- One (1) or more years of experience in an office environment.
- Detail oriented.
- Basic computer skills in Office 365, Teams, Zoom and other communication/meeting platforms.
- Possess a valid driver’s license and have access to a dependable means of transportation that is properly insured and operated in accordance with all laws. Agency insurer authorization is required.
- Ability to pass a pre-employment criminal background check.
- Ability to pass a pre-employment drug screen, and TB test.
- Pay Range:
