Job SummaryThe Facilities & Project Manager is responsible for the operational reliability of all company facilities and the successful execution of company projects, including new office openings and expansions. This role owns day-to-day facilities management across multiple locations and serves as the primary project manager for construction-related initiatives, infrastructure coordination, and clinic readiness.
The Facilities & Project Manager works closely with executive leadership, vendors, subcontractors, and IT partners. This position does not independently approve contracts or major financial commitments. All final approvals are made by executive leadership.
Occasional travel is required.
Primary Responsibilities- Facilities Operations and Maintenance
- Own ongoing facility operations across all company locations.
- Coordinate repairs, service requests, and preventative maintenance.
- Ensure internet, VoIP phone systems, and basic infrastructure are reliable and supported through third-party vendors.
- Track recurring facility issues and implement long-term solutions to reduce disruptions.
- Maintain facilities to company standards to support uninterrupted clinical operations.
- Implement a project tracking/ticketing system for all existing facilities and new de novo’s.
- Vendor and Subcontractor Management
- Serve as the primary point of contact for facilities, construction, service, and infrastructure vendors.
- Clearly communicate scope, expectations, and timelines to vendors.
- Track vendor performance, responsiveness, and adherence to schedules.
- Escalate performance, cost, or scope concerns to executive leadership.
- Identify opportunities to standardize vendors or services to improve reliability and reduce costs (e.g., flooring, lighting, equipment).
- Project and Expansion Management
- Serve as project manager for new office openings and expansions.
- Coordinate construction schedules, inspections, utilities, vendor timelines, and dependencies.
- Manage ordering, delivery, and installation of furniture, fixtures, equipment, and supplies.
- Coordinate with IT providers to ensure internet and phone systems are operational prior to opening.
- Ensure new locations are fully functional and ready for patient care on opening day.
- Project Planning and Execution
- Develop and maintain detailed project plans, schedules, and milestones.
- Manage projects from initiation through completion with clear accountability and follow-through.
- Identify risks, delays, or obstacles early and implement solutions or escalate appropriately.
- Maintain accurate project documentation and status updates using project management tools.
- Communication and Reporting
- Provide clear, concise updates to executive leadership on facilities and project status.
- Escalate issues with context, impact, and proposed solutions.
- Facilitate meetings, documentation, and reporting related to facilities and projects.
- Quality and Compliance
- Ensure work meets company standards for quality, safety, and operational readiness.
- Ensure projects and facilities comply with company policies and best practices.
Performance in this role will be measured by:

- Ability to manage multiple projects and locations simultaneously
- Excellent written and verbal communication skills
- Experience using project management or task-tracking tools
- Ability to operate independently while knowing when to escalate
- Bachelor’s degree not required.
- Experience managing facilities across multiple locations
- Experience coordinating construction, office build-outs, or relocations
- Familiarity working with IT vendors (internet, VoIP, infrastructure)
- Experience identifying cost-saving or standardization opportunities
