We are currently seeking an experienced and service-driven Spa Coordinator to join our award-winning luxury spa resort team. This role is ideal for someone who thrives in a high-end hospitality environment and is passionate about delivering exceptional guest experiences

POSITION SUMMARY

The Spa Coordinator oversees the smooth operation of spa services in a behind-the-scenes capacity, ensuring therapists and staff have everything they need to provide exceptional guest experiences. This role manages scheduling, service coordination, inventory, and administrative tasks. Strong organization, attention to detail, and the ability to anticipate the needs of both staff and clients are essential for maintaining a seamless, high-quality service environment.

ESSENTIAL

JOB FUNCTIONS
  • Ensure all guests receive personalized, attentive, and discreet service aligned with Cal-a-Vie standards
  • Address guest questions, concerns, and service recovery needs promptly and professionally
  • Maintain a calm, welcoming, and luxury-focused spa environment
  • Lead and coordinate spa staff to ensure smooth operations during assigned shifts
  • Assist with onboarding and training of new spa team members
  • Oversee opening and closing procedures of the spa
  • Ensure treatment rooms and common areas consistently meet Cal-a-Vie’s standards of cleanliness, comfort, and overall quality
  • Partner with the Scheduling Department to align scheduling needs with therapist availability and guest demand
  • Assist with inventory control, product restocking, and supply organization
  • Uphold Cal-a-Vie’s service standards, wellness philosophy, and brand presentation
  • Ensure adherence to health, safety, sanitation, and licensing requirements
  • Maintain an up-to-date version of the Spa Procedure manual and ensure State Board compliance.
  • Ensure equipment is maintained and in proper working order.
  • Maintain professional relationships with all vendors.
  • Manage inventory effectively; follow purchasing standards; ensure compliance
  • Effectively administer and monitor staff scheduling procedures
  • Assist Spa Management with reports, guest feedback, and operational follow-up
  • Maintain clear, cross-functional communication to support exceptional guest experiences
  • Maintain and update all necessary internal and external signage.
POSITION QUALIFICATIONS

Experience
:
Previous experience in customer service in a luxury spa, wellness resort, or hospitality environment preferred

Knowledge
:
Strong knowledge of spa operations, treatments, and guest service standards

Skills/Abilities
:
Ability to multitask and thrive in a fast-paced, high-touch service environment Excellent communication, leadership, and interpersonal skills. Calm, professional demeanor with strong problem-solving abilities

:
Flexible availability, including weekends and holidays
