Service Support – Royal Houdijk

At Royal Houdijk, we develop and build high-quality industrial systems for the international food processing industry. Our machines and automation solutions are used worldwide by leading manufacturers. Within the Customer Services department, we ensure that customers can continue to rely on optimal support even after delivery. This includes technical support, spare parts, service projects, and maintenance. The department acts as the link between customers and the internal organization.

In this dynamic and international environment, you play an important supporting and connecting role as a Service Support professional.

About the role

In this position, you are a key link within our Customer Services department. You support the Project Service Engineers and ensure that spare parts requests, orders, deliveries, administrative processes, and the financial follow‑up of service projects run smoothly. You maintain an overview, monitor progress, and ensure that colleagues and customers can rely on accurate information and timely follow‑up. An important part of your role is actively monitoring and carefully following up on outstanding invoices and payment processes.

On a daily basis, you switch between customer contact, administration, spare parts processes, logistical coordination, and collaboration with colleagues within a technical and international environment.

Responsibilities
  • Handling and coordinating spare parts requests and orders.
  • Preparing quotations and order confirmations.
  • Monitoring delivery times, order statuses, and progress.
  • Supporting customs and logistics-related matters.
  • Initiating, monitoring, and following up on invoicing processes.
  • Actively following up on outstanding invoices, payment reminders, and dunning notices.
  • Coordinating with customers and internal stakeholders regarding financial progress and payments.
  • Preparing financial project overviews.
  • Accurately processing administration in the ERP system.
  • Managing objects and projects in the ERP system.
  • Administratively processing data, agreements, and correspondence.

  • A monthly salary between €3,500 and €4,500 gross (based on a 40‑hour workweek), with opportunities for further growth through specialization or career development.

  • A fixed monthly commuting allowance of €0.23 per kilometer.

Qualifications

You are strong in organization, work in a structured way, and easily maintain an overview, even when multiple things are happening  thrive in a dynamic work environment where you create clarity, collaborate with colleagues, and ensure that tasks are properly and timely followed up.

Key qualifications
  • You have at least an MBO level 3 or 4 diploma in an administrative, commercial, financial, or logistics field.
  • You work accurately and in a structured manner, and can set priorities effectively.
  • You are customer-oriented, communicatively strong, and can easily interact with various stakeholders.
  • You have a commercial mindset and understand that good service is essential for strong customer relationships and business success.
  • You take responsibility and approach tasks proactively.
  • You enjoy working collaboratively, contribute ideas, and feel responsible for the team’s overall results.
  • You take ownership of the accurate and timely follow-up of orders, administration, and invoicing.
  • You remain calm and focused under pressure, maintaining an overview even when handling multiple tasks simultaneously.
  • You are digitally skilled and comfortable working with Microsoft 365 and ERP systems.
  • Experience with ISAH, reporting, or Power BI is a plus.
  • Good command of both Dutch and English, spoken and written.
