Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
The Case Coordinator at Dooley Noted blends receptionist, intake, and administrative responsibilities to ensure every lead receives prompt attention, clear communication, and exceptional service. Additionally, the Case Coordinator will work with the Case Coordinator team and other support staff to ensure a high level of professionalism, organization, and timeliness among client onboarding. We are a high-demand, fast-paced, high-volume practice, and the Case Coordinator must be able to adapt quickly and maintain accuracy while managing multiple tasks.
Key Responsibilities- Answering phone calls and emails
- Collecting and documenting new lead information
- Dispersing messages and calls to the proper channels
- Understanding firm practice areas and pricing
- Preparing settlement statements, invoices, and closing documents
- Sorting and filing incoming mail and faxes
- Completing any and all tasks assigned by the Director of Operations
- Knowledge of Google Workspace (specifically, Drive, Sheets, Docs and Email)
- Familiarity with timekeeping and task management tools
- Strong organizational skills
- Strong communication skills—both written and verbal
- Creative mind with the ability to suggest improvements
- Familiarity with CRM and scheduling tools
- Familiarity with the legal industry
- Excellent time management skills and the ability to multitask and prioritize projects
